Who are we looking for?
P31 Consulting and P31 Academy are looking for an Virtual Assistant/Event Planner to work primarily with the Partners of the Company as well as other members of the team to plan events, schedule meetings and calls, set up our events for us (this includes booking hotels, negotiating prices for the hotels, reserving conference rooms and multiple hotel rooms at a time or an Airbnb, helping with travel arrangements).
The best fit for our team will be someone who is:
Detail oriented who can follow and execute directions such as organizing and giving plans for room layouts and picking and ordering food for our events
A creative thinker who can create a unique and unforgettable experience for others!
Experienced and “highly” skilled in working with spreadsheets (both Google Sheets and MS Excel) including formulas and formatting
Familiar GoHighLevel - this is a plus!
Qualifications
Willing to do whatever it takes to get the job done effectively and efficiently including completing tasks whenever tasks are risk of not being completed
Willing to hold company Partners accountable for completing their tasks
Demonstrated productive, positive team player
Can work efficiently alone and without specific guidance (can make relevant decisions without direction when needed)
Will provide at least 2 business references (that you have worked for or with recently)
Enjoy anticipating the needs of others and learning how to ‘think’ like the team
Proven experience in event planning and coordination.
Strong skills in scheduling meetings and managing calendars.
Ability to set up and execute events, including negotiating venue contracts.
Available for a short-term project (20 hours a week) until the end of the year, with potential for up to 40 hours of work.
Excellent proficiency in spreadsheets, including formatting and data management.
Familiarity with GoHighLevel or similar CRM tools.
Strong negotiation skills for booking hotels and other event-related logistics.
Experience in creating detailed event plans, room layouts, and catering arrangements.
Creative thinker with the ability to develop unique event experiences and improvements.
Knowledge of travel arrangements for international guests, including flight and accommodation logistics.

Skills
Event Planning:

Scheduling and Coordination:
Proficient in scheduling meetings and managing calendars for multiple partners.
Strong multitasking abilities to handle simultaneous tasks efficiently.
Travel Coordination:
Experience in arranging travel logistics, including hotel bookings and transportation.
Spreadsheets:
Advanced skills in creating and formatting spreadsheets for budgeting and planning purposes.
Attention to Detail:
Meticulous in following directions and ensuring every aspect of an event is well-organized.
Creative Thinking:
Ability to brainstorm and implement unique ideas for memorable events and experiences.
Team Collaboration:
Strong interpersonal skills to work effectively within a team-oriented environment.
