JOB OVERVIEW

Overview:
Temple Mother Earth, a non-profit organization focused on promoting healing, spiritual growth, and community through sacred practices like Ayahuasca ceremonies, is looking for a dedicated Operations Manager to oversee the daily activities of the organization. The Operations Manager will ensure the smooth operation of all programs and events, assist with the expansion of our services to new locations, and play a critical role in managing the overall logistics and administrative functions of Temple Mother Earth.

Key Responsibilities :
1. Operational Oversight
Oversee daily operations and ensure that all Temple Mother Earth activities and programs, including Ayahuasca ceremonies, retreats, and workshops, run smoothly.
Ensure compliance with all organizational policies and relevant regulations related to non-profits, spiritual practices, and ceremonial operations.
2. Event Management
Plan and manage events, including ceremony scheduling, participant registration, vendor coordination, and logistics.
Ensure all logistical aspects of events are executed, including the preparation of the venue, supply management, volunteer coordination, and safety measures.
Develop and maintain event budgets and track expenses to ensure financial efficiency.
3. Branch Expansion and Logistics
Lead efforts to establish new branch locations in Washington State and North Carolina, working with local teams to ensure successful setup and compliance with local laws.
Manage logistics for expanding operations, including the sourcing of facilities, coordinating with local officials, and ensuring the smooth launch of new branches.
4. Volunteer and Staff Management
Recruit, onboard, and manage volunteers and part-time staff for events and operational needs.
Develop and implement training programs to ensure staff and volunteers align with Temple Mother Earth's values and understand their roles in ceremonial and community events.
5. Financial Management
Collaborate with the finance team to develop and monitor operational budgets.
Oversee expense tracking, vendor payments, and report financial performance regularly to the Executive Director.
Assist with grant management and donation tracking, ensuring funds are allocated appropriately to support the organization’s mission.
6. Communications and Stakeholder Management
Serve as the liaison between the Executive Director and various stakeholders, including vendors, donors, volunteers, and participants.
Respond to inquiries and ensure clear communication of Temple Mother Earth’s mission and policies.
Assist in maintaining partnerships with community organizations and external vendors.
7. Process Improvement
Identify areas for operational improvement and efficiency.
Develop and implement new processes to enhance the organization’s ability to scale and manage increased event participation.
8. Compliance and Risk Management
Ensure that Temple Mother Earth complies with local and national regulations related to non-profit management and ceremonial practices.
Develop and enforce safety protocols for events and manage risk to minimize liability for the organization.
9. Technology and Tools
Manage organizational tools, such as donor management software, event registration systems, and communication platforms.
Oversee the implementation of new technology or tools to support efficient operations.
