Looking for a data-driven, highly organised virtual assistant to work full-time for an Australian online company in the industry of business coaching for females.
We have a great business culture, a wonderful close-knit team, global reach and expansion, a lot of new skills to teach you (as well as embracing the ones you will bring to us), but we do need you to bring MAGIC to the table for us too.
You will be assisting one of our Directors in an extremely fast paced and dynamic environment.
***MUST HAVE QUALITIES (please do not apply if you feel you are not at a highly proficient level in these areas):
- STRONG ATTENTION TO DETAIL AND ACCURACY. If you are prone to typing errors, spelling mistakes and regularly have to fix small errors, this role is not suitable for you.
In this role, you should be FINDING the mistakes and fixing them.
- HIGHLY DRIVEN BY DATA WITH THE ABILITY TO ANALYSE DATA. In this role, you will be asked not only to gather and input data, but you MUST have the ability to analyse the data in a critical way that helps the business form important judgements and decisions to drive profits and efficiency.
Being "good with spreadsheets" is not enough, you must have the analytical skills to interpret what the data is telling you.
- PROFICIENCY IN SYSTEMS. In this role, you will be asked to create systems and workflows for certain tasks and projects, to ensure better efficiency and alignment with the team. Building out SOPs, learning and creating new systems, using new software should all be second nature to you. If you are technologically challenged, or don't enjoy learning new systems, then this role will not be suitable for you.
- CREATIVE EYE FOR BUSINESS DESIGNS. You will be asked to put together well designed documents, spreadsheets, proposals, infographics and PDFs that will be presented to potential clients and the rest of the team.
Proficiency in CANVA is required, as well as good graphic design skills for BUSINESS. We appreciate creativity, but we also need to make sure your designs are simple, eye catching and gets to the point!
- ORGANISATION AND TIME MANAGEMENT SKILLS. You will be working to assist one of our directors to ensure his task list is completed in a timely manner. It's extremely important you are used to working in dynamic, fast-paced environments and able to meet urgent deadlines.
- Highly proactive and efficient in not only completing day to day administrative tasks, but also identifying new tasks that should be completed that will benefit the Director, the company and create better flow and efficiency for the team.
- Strong communication skills, both spoken and written. You will be required to communicate and report to the Director but also communicate to our clients on behalf of the team and the Director. Proper use of grammar, punctuation and proficiency in English is vital, especially in written format.
- Highly productive with proven results, ability to meet firm deadlines and prioritise tasks accordingly.
*** SKILLS PREFERRED/REQUIRED (as noted):
- Experience and proficiency in Excel, Google Sheets, CREATION OF DASHBOARDS from Excel/Google Sheets data (Required)
- Experience in data entry, spreadsheets, data analysis (Required)
- Experience in using Slack, Google Suite, Gmail, Calendar, Google Sheets and Google Docs (Required)
- Experience in CANVA or other design tools (Required)
- Experience working with task management systems such as Asana, Monday etc (preferred)
- Experience with CRMs such as Go High Level, Hubspot, Close etc (preferred)
- Experience in a fast paced online coaching or sales-driven environment (preferred)
WORKING HOURS:
Monday to Friday 8.30am to 5.30pm Australian Eastern Standard time (with one hour lunch), with possible minor changes in scheduling if certain events or deadlines arise.
