JOB OVERVIEW
Remote Position for Vacation Rental Company located in Park City, Utah.
We are seeking a detail-oriented Operations Coordinator to support the financial and administrative functions of our short-term rental business. You will assist the Operations Team with bookkeeping, billing, and managing work orders for property maintenance, while also handling back-office tasks to enhance operational efficiency.
KEY RESPONSIBILITIES
Administrative & Data-Entry (40%):
- Coordinate with Operations Team on scheduling Service Contractors based on priority.
- Reference property information and calendar availability and communicate with Vendors.
- Track down and input necessary receipts to facilitate closing out work orders.
- Manage accounts payable/receivable and process payroll for contractors and employees.
- Utilize systems ie. Slack, Streamline PMS, RingCentral, RueBaRue
Work Order Management (60%):
- Coordinate work orders for maintenance, repairs, routine services ensuring timely completion and tracking costs.
- Oversee work orders to constantly keep updated with timelines, notes, photos.
- Coordinate with vendors, contractors, and local team, maintaining proper documentation and billing accuracy.
- Daily / Weekly reports to management on Work Order Timeliness, Issues, and Road Blocks.
Responsible for scheduling and coordinating service contractors, tracking task completion, and updating systems like property management software. Ensuring that contractors provide timely updates, including photos and invoices.
Skills & Qualifications:
Strong organizational skills and attention to detail.
Bookkeeping experience, preferably with QuickBooks or similar software.
Proficiency in property management software and Microsoft Excel.
Effective written and verbal communication skills.
Ability to manage multiple tasks and take initiative.
Compensation & Schedule: $6 per hour
Hours: Monday to Friday, 8:00 AM - 5:00 PM MST, with a 1-hour lunch break.
