The Accend Companies in Washington, DC, USA ( ---------- ) is seeking a full-time Virtual Assistant.
We are looking for someone who is very detail oriented and has experience with data entry as well as some accounting knowledge. Needs to have a positive attitude and does well with detailed work with an emphasis on accuracy. Training will be provided as needed.
Depending on the candidates’ strengths, the role may evolve in the future. The candidate must demonstrate good character and suitable skills to match the responsibilities. Candidates must have a strong work ethic and a commitment to the success of our organization.
This role reports directly to the Team Manager but will work with all members of the Design Team.
Full-time means a forty (40) hour work week Monday to Friday. The candidate must be available between 6am-12pm local Philippine Standard Time (PHT) for periodic video conferencing. Additional hours are possible, as well as the rare exception of up to a fifty (50) hour week under exceptional circumstances. Occasional weekend availability may be necessary but is not normal.

QUALIFICATIONS
• Effectively speaks and writes English.

• Effective communication and people skills to collaborate with various teams.
• Ability to work independently and meet deadlines in a demanding environment.
• Preferably holds qualifications, or corresponding achievements, in relevant fields.
• Able to learn new tools, software, and services quickly.
• Able to work from alternative locations if their personal internet connection goes down.

• Prior experience with Asset Panda or similar database tool.
• Ability to manage large volumes of data with a high degree of accuracy.
• Knowledge of basic accounting or taxes
• Basic knowledge of interior design materials, furniture, and equipment is a plus.
• Proficient in Office 365 such as Outlook, Excel, Teams, and Word and familiarity with asset management software (e.g., Asset Panda)

RESPONSIBILITIES
• Enter and maintain accurate records of all inventory and assets, including furniture, materials, and equipment.
• Track the acquisition, movement, and disposal of assets within the company across five properties virtually.
• Collaborate with the Design Team to ensure tasks are completed in a timely manner.
• Assist in preparing reports on assets, depreciation, and financials.
• Ensure that all data entered adheres to company standards for accuracy and completeness.
• Assist in the implementation of asset management tools or software as needed.
• Maintain the asset management platform to ensure all assets are tracked appropriately.
• Help streamline asset-related processes and recommend improvements to reduce costs or enhance efficiency.
• Accurately input correct information from new invoices by following an index guide for proper labeling and verbiage.
• Record all donations to include who acquires assets, when and pricing of original item with photos.
• Conduct regular audits to ensure asset data accuracy, verify inventory location and resolve discrepancies.
• Maintain flexibility. As a key participant in our organization, this role is expected to be flexible and willing to assist with other tasks if or when they arise.

PERKS

PAY:
$4.50 Per Hour USD pre-tax

PAID VACATION:
Five paid vacation days in the first year (cannot be used in the first four months). Five additional paid days each year up to twenty days maximum.

NATIONAL HOLIDAYS:
Those working full-time (30+ hours per week) will be paid for the following National Holidays if they fall on a working day: Chinese New Year, People Power Revolution, Maundy Thursday, Good Friday, Black Saturday, The Day of Valor (Bataan Day), Labor Day, Eid'l Fitr, Independence Day, Eidul Adha, Ninoy Aquino, National Heroes Day, All Saint's Day, All Soul's Day, Bonifacio Day, Immaculate Conception Day, Christmas Eve, Christmas Day, Rizal Day, New Year's Eve, and New Year’s Day.

13th MONTH BONUS:
December double pay (paid at the end of November). Prorated in the first year.

MATERNITY/PATERNITY TIME-OFF:
Maternity is one hundred and five (105) days. Paternity is seven (7) days for the first four (4) children. Since this type of leave is covered through SSS, Accend does not compensate for it.

HEALTH INSURANCE:
Private health insurance for those working full-time and their immediate family is offered after the first full year.
