Job Title: Virtual Executive Assistant for Electrical Contracting Business
Job Description: We are seeking a highly organized and proactive Virtual Executive Assistant to join our electrical contracting company. This role will serve as both a support for the company’s daily operations and a personal executive assistant to the business owner. The ideal candidate must be able to manage multiple tasks efficiently, take initiative without the need for constant supervision, and have excellent organizational skills.
Responsibilities:
-Daily Administrative Support: Handle
-Project Management Assistance: Support the coordination of electrical contracting projects, ensuring timelines are followed, and keeping the business owner informed of project progress.
-Personal Executive Assistance: Assist with personal tasks, travel arrangements, document organization, and other tasks as assigned by the business owner.
-File Management & Data Entry: Organize and maintain digital files, input data accurately, and ensure records are updated.
-Communication: Act as a liaison between the business owner and clients, tea
-Research & Documentation: Conduct research on industry-specific topics as needed, prepare reports, and compile data relevant to ongoing projects.
-Task Prioritization: Understand business priorities and allocate time accordingly, ensuring critical tasks are completed within deadlines.
-Client and Vendor Relations: Handle communications and inquiries with clients, suppliers, and other external stakeholders professionally and promptly.
Key Qualifications:
-English Proficiency: Excellent written and spoken English skills, with an emphasis on professional communication.
-Attention to Detail: A keen eye for accuracy in both administrative and project management tasks.
-Ability to Work Independently: Self-starter who can manage their time effectively and does not require micromanagement.
-Strong Memory & Retention: Ability to remember instructions and retain information to complete tasks without repeated guidance.
-Tech-Savvy: Proficient with standard office software (Microsoft Office, Google Suite) and quick to learn new systems or tools as needed.
-Time Management: Ability to work uninterrupted from 8am to 4:30pm HST with a 30-minute break, ensuring all tasks are completed within working hours.
-Organizational Skills: Strong multitasking skills, capable of handling multiple projects, and prioritizing effectively.
Preferred Experience:
-Previous experience in a virtual assistant or executive assistant role.
-Familiarity with the construction or electrical contracting industry (preferred but not required).
-Experience using project management tools like Asana, Trello, or similar.
Salary: Competitive and based on experience.
