JOB OVERVIEW

Are you an organised, detail-oriented professional who thrives in a dynamic environment? Do you have a knack for keeping busy people on track, managing calendars, and streamlining tasks? We are looking for a proactive and resourceful Personal Assistant to support the founder of Ideas Forums, which includes The Start Up Awards, The Great British Entrepreneur Awards, and the UK Fast Growth 50. Your role will be instrumental in helping manage the day-to-day, staying organised, and creating key materials such as sales decks from templates.

Key Responsibilities:
Diary Management: Arrange meetings, calls, and events, keeping the founder’s schedule organised and up to date.
Sales Deck Creation: Use pre-existing templates to create professional, visually appealing sales decks and presentations for various events and initiatives.
To-Do Lists & Task Management: Help the founder stay on top of their priorities by creating and maintaining to-do lists and tracking progress on tasks.
Meeting Summaries: Attend key meetings (virtually) to take notes and provide concise summaries, ensuring action items are clearly tracked and followed up.
Booking & Coordination: Arrange travel, meetings, and other appointments, ensuring all logistics are smooth and aligned with the founder’s schedule.
General Admin Support: Assist with email management, document organisation, and other administrative tasks as needed.
About You:
We are looking for someone who is:

Super organised: You have a natural ability to keep things in order and spot potential scheduling conflicts before they arise.
Detail-oriented: You ensure nothing falls through the cracks and are thorough in everything you do.
Proactive: You don’t wait to be told what to do—you anticipate needs and handle things before they become issues.
Tech-savvy: You are comfortable using tools like Microsoft PowerPoint, Google Docs, and project management tools to help streamline tasks.
Great communicator: You can write clear, concise messages and notes, and are comfortable speaking with high-level stakeholders.
Flexible and adaptable: You can handle a fast-paced environment and adapt to shifting priorities with ease.
Requirements:
Proven experience in a Personal Assistant or Executive Assistant role.
Strong organisational and time-management skills.
Ability to create professional presentations from templates (PowerPoint or Google Slides).
Excellent written and verbal English communication skills.
Proficiency in scheduling tools, calendar management, and productivity apps.
Experience with task management systems (e.g., Trello, Asana, Monday) is a plus.
