JOB OVERVIEW

We are looking for a dedicated and highly trusted Executive Assistant to support the CEO of a fast-paced eCommerce business. The ideal candidate will be highly organized, detail-oriented, and have the ability to manage a wide range of personal and professional tasks with efficiency and discretion. This is a remote position that requires flexibility, initiative, and the ability to work seamlessly across time zones.

Key Responsibilities:

1. Executive Support:
- Manage the CEO’s calendar, appointments, and scheduling.
- Assist in responding to emails, drafting communications, and organizing meetings.
- Coordinate travel arrangements, including booking flights, and accommodations, and creating detailed itineraries.
- Handle confidential information with integrity and professionalism.

2. Business Administration:
- Assist with HR-related tasks, including onboarding, employee communication, and scheduling.
- Prepare presentations and reports for meetings and provide administrative support to various departments as needed.
- Organize and maintain company documents and files.

3. Marketing & Reporting:
- Assist with marketing and sales reporting, gathering data and insights to support decision-making.
- Track key performance indicators and assist with the preparation of performance reports.

4. Personal Assistance:
- Support with personal tasks as needed, including managing personal appointments and other requests.

Qualifications:

- Proven experience as an Executive Assistant, Virtual Assistant, or relevant administrative role.
- Excellent communication skills, both written and verbal.
- Strong organizational skills with attention to detail and the ability to multitask.
- Proficiency in Asana, Excel, and Google Workspace.
- Experience in handling confidential information with discretion.
- Ability to work independently, take initiative, and adapt to changing priorities.
- Availability to work from 6:00 AM - 1:00 PM EST and switch time zones based on travel.

Preferred Qualifications:

- Experience in HR support and familiarity with recruitment and onboarding processes.
- Background in e-commerce or marketing reporting is a plus.
- Comfortable using project management tools like Asana.
