Administrative Manager for Growing Roofing Company

**Job Description:**
We are a growing roofing company seeking a reliable and detail-oriented Virtual Assistant to help streamline our operations. The ideal candidate will play a critical role in managing leads, scheduling, and ensuring smooth communication between our team and clients. You must be proactive, highly organized, and willing to learn and adapt to our current systems.

**Key Responsibilities:**
- **Lead Management:**
- Onboard new leads and input them into our CRM.
- Organize and track leads to ensure follow-up and progression through the sales pipeline.
- Maintain accurate and up-to-date records of all lead interactions.

- **Scheduling:**
- Schedule jobs, subcontractors, and estimates.
- Coordinate with the team to ensure timely completion of tasks.
- Manage calendars and ensure appointments are properly aligned.

- **CRM Management:**
- Learn and become proficient in using our CRM system (admittedly, we are not well-versed in the CRM we use. We are hoping this position can be filled by someone willing to learn and create a process along side us).
- Optimize the CRM to track job progress, lead conversions, and customer communications.

- **Administrative Tasks:**
- Create and send invoices, estimates, and proposals.
- Follow up with clients regarding estimates, invoices, and project statuses.
- Handle other administrative duties as needed to support the team.

**Requirements:**
- Proven experience as a Virtual Assistant or similar role.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to learn new systems quickly, particularly CRM software
- Proficiency in scheduling tools, email management, and document preparation.
- Ability to work independently, manage multiple tasks, and meet deadlines.

**Preferred Qualifications:**
- Previous experience in a construction, roofing, or home improvement industry is a bonus.
- Experience with invoicing, estimates, and proposals.
- Familiarity with tools like Google Sheets, Excel, or other project management software.

**Working Hours:**
Flexible, but must be able to accommodate time zones and deadlines based on our business needs.
