Job Title: Operations Manager (Virtual Assistant)
Location: Remote
Shift: 11:00 AM - 8:00 PM Pacific Time, Monday to Friday
About Us: We are a leading Short Term Rental Management company based in the San Francisco Bay Area, dedicated to delivering exceptional guest experiences and maximizing property performance. We are seeking a talented and proactive Operations Manager to oversee our diverse team and ensure the efficient operation of various departments, including bookkeeping, sales, guest management, hiring, administration, and training.
Job Description: As the Operations Manager, you will be responsible for managing and optimizing the performance of employees across multiple departments. You will ensure that all teams are working effectively towards company goals, track and analyze key performance indicators (KPIs), and propose improvements based on your observations. Your role will involve a combination of people management, departmental oversight, and strategic planning.
Key Responsibilities:
? People Management:
? Supervise and support employees across different departments, including
bookkeeping, sales, guest management, and administration.
? Conduct regular performance reviews, provide constructive feedback, and
implement development plans to enhance team performance.
? Manage the hiring process, from job postings and candidate screening to
onboarding and training new employees.
? KPI Tracking and Improvement:
? Monitor and evaluate key performance indicators (KPIs) for each department and individual employees.
? Analyze KPI data to identify trends, performance gaps, and opportunities for improvement.
? Develop and propose new KPIs based on observations, departmental needs, and company objectives.
? Departmental Oversight:
? Ensure seamless coordination and communication between departments to
optimize overall efficiency.
? Oversee administrative functions, including scheduling, documentation, and
reporting.
? Support the sales team in achieving targets and collaborating on marketing
strategies.
? Training and Development:
? Coordinate and facilitate training programs for new hires and ongoing employee development.
? Develop and implement best practices and training materials to enhance team skills and knowledge.
? Guest Management Support:
? Oversee guest management processes to ensure high levels of guest satisfaction
and effective resolution of issues.
? Collaborate with the guest management team to address feedback and improve
guest experiences.
Qualifications:
? Proven experience as an Operations Manager, or similar role, with expertise in managing employees and overseeing multiple departments.
? Strong proficiency with office software, including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Drive).
? Familiarity with property management or the short-term rental industry is advantageous.
? Excellent organizational and multitasking skills with a keen eye for detail.
? Strong analytical skills with experience in KPI tracking and performance analysis.
? Outstanding communication and interpersonal skills, with the ability to motivate and
manage a remote team effectively.
? Ability to work independently, take initiative, and solve problems proactively.
? Experience with virtual team management and remote collaboration tools is preferred.
