We are a fast-growing SEO agency specializing in eCommerce SEO and local service business marketing. Our focus is on delivering high-quality results for our clients, driving growth through data-driven SEO strategies. We pride ourselves on maintaining strong relationships with both our clients and contractors, ensuring timely delivery of high-quality work.
As our business continues to grow, we are looking for an Operations & Project Manager to take ownership of managing client projects, overseeing our team of contractors, and ensuring the smooth execution of all deliverables.
Key Responsibilities:
Project & Task Management:
Oversee the assignment of all client deliverables using ClickUp.
Manage daily task tracking and ensure all work is assigned with clear instructions, deadlines, and resources.
Conduct daily team check-ins to review tasks due that day and later in the week, ensuring all are on track.
Ensure all work meets high standards of quality before delivery to clients.
Communicate with contractors regularly to ensure they are meeting deadlines and delivering high-quality work.
Track contractor schedules and performance, and ensure they are available during their scheduled hours.
Take ownership of client deliverables, including keyword research, SEO audits, content calendars, blog posting, and backlinks, ensuring they meet the company's quality standards.
Report any issues with contractor performance or project delays to the CEO promptly.
Client Management:
Review client priorities and manage task assignments for key clients.
Maintain regular communication with clients (when needed) to provide project updates and ensure their needs are being met.
Support the CEO in managing key client relationships and ensuring client satisfaction.
Quality Assurance:
Review keyword research, SEO audits, content calendars, and backlinks to ensure they align with client goals and industry best practices.
Ensure blogs are posted correctly, formatted properly, and optimized for SEO.
Process Improvement:
Identify areas for process improvement within project management, task assignments, and quality control.
Suggest and implement improvements to ensure more efficient workflows.
General Business Support:
Assist the CEO with miscellaneous business-related tasks such as research, working with designers on website and landing page development, and helping to find copywriters when needed.
Take on tasks that contribute to the overall growth and success of the business.
Required Skills & Experience:
Highly Organized: You must be able to manage multiple projects and tasks simultaneously, keeping everything on track and ensuring deadlines are met without sacrificing quality.
SEO Knowledge: A strong understanding of SEO fundamentals, including keyword research, on-page optimization, audits, content creation, and backlinks. You should be able to evaluate and ensure high-quality SEO deliverables.
Project Management Experience: Previous experience managing projects using tools like ClickUp (or similar project management software). Experience managing teams of contractors or remote workers is highly preferred.
Strong Communication Skills: The ability to communicate clearly and professionally with both contractors and clients. You should be able to give feedback and ensure contractors are meeting expectations.
Attention to Detail: A keen eye for detail is critical, especially when reviewing SEO deliverables and ensuring they meet both client and internal quality standards.
Problem-Solving Skills: You should be able to identify and address issues as they arise, whether it's with contractors, deadlines, or client requests, and come up with actionable solutions.
Adaptability: Willingness to take on a variety of tasks, from project management to general business support, while being able to prioritize effectively.

Time Zone:
Work Hours: Must be available during PST (Pacific Standard Time) working hours (9:00 AM - 5:00 PM PST).
Expectations:
Daily Reports: Provide daily summaries of tasks completed, upcoming work, and any issues or blockers to the CEO.
Team Leadership: Ensure that all contractors are meeting their deadlines, responding during their scheduled hours, and producing high-quality work.
Process & Quality Control: Take ownership of the project management process, making sure that everything is organized and delivered to a high standard.
Client Success: Ensure clients are happy with the deliverables and that all projects align with their goals.
Preferred Experience:
SEO or Digital Marketing Agency Experience: Previous experience working in an SEO or digital marketing agency setting is highly preferred.
Project Management Tools: Experience with project management software like ClickUp, Trello, Asana, or similar tools.
Experience with Remote Teams: Experience managing or working with a remote team of contractors or freelancers.
