Overview:
We are seeking a highly organized, proactive Personal Assistant who is also an expert in Notion to support our COO. The ideal candidate will have excellent communication skills, be able to manage a dynamic schedule, and filter all incoming requests to protect the COO’s time while prioritizing tasks that directly support revenue growth.

A strong understanding of Amazon Seller Central and expertise in Amazon processes would be a significant plus, as it will help streamline operations related to the platform.

This role demands someone who can think ahead, organize effectively, and ensure that communication flows seamlessly. The ability to streamline tasks using Notion is essential, as well as a strong ability to handle confidential information and maintain professionalism.

Key Responsibilities:

1. Notion Organization & Responsiveness:

Act as the COO's Notion expert, creating and maintaining dashboards to track projects, deadlines, and tasks.
Ensure the COO has quick and easy access to essential data, resources, and notes, making Notion a central hub for their operations.

Use Notion to proactively manage and organize ongoing tasks, contacts, and communications for maximum efficiency.
Maintain a high level of responsiveness by updating Notion systems in real-time to ensure nothing slips through the cracks.

2. Email & Communication Filtering:

Regularly monitor and prioritize the COO’s email and other communications, ensuring only the most critical items reach them.
Respond to emails and correspondence with clarity and kindness, always ensuring timely follow-up.

3. Calendar & Meeting Management:

Efficiently manage the COO’s calendar by scheduling meetings with clear context and ensuring they are necessary and productive. Balance work and personal commitments, handling scheduling conflicts with ease.
Include all relevant information for meetings, and ensure the COO is fully briefed on key points ahead of time.

4. Task Prioritization & Time Management:

Prioritize tasks based on what generates the most revenue or impacts the business directly.
Continuously look for ways to optimize the COO’s time, ensuring every minute is spent on high-impact activities.

5. Project Tracking & Reporting:

Track ongoing business projects and provide updates to the COO, keeping them informed of progress and key deadlines.
Preemptively identify and solve issues before they reach the COO’s attention.
