Job Description: Independent Contractor - Construction Administrative Assistant

Position Overview: We are seeking a detail-oriented, highly organized Construction Administrative Assistant to support our team by managing construction files, contracts, change orders, schedules of values, and Procore communications. This independent contractor role is designed for someone who can work remotely, scan and digitize files, and handle administrative tasks with precision. The position is flexible, but if it converts to full-time, the contractor will need to work US hours.

Key Responsibilities:
• Convert scanned construction files into usable documents (contracts, change orders, schedules of values).
• Create, update, and maintain contracts and change orders based on scanned documents.
• Input relevant information into Procore and other project management software.
• Manage and update the company directory.
• Upload and manage project drawings and documentation in Procore.
• Send out project-related communications through Procore.
• Provide accurate data entry for all scanned documents.
• Maintain organized digital file systems.
• Attend twice-weekly progress update calls.
• Respond promptly to emails and Teams messages, ensuring same-day responses.

Required Skills and Qualifications:
• Proficiency in Procore or other construction project management software.
• Strong written English skills for creating clear, concise communications and documentation.
• Experience with document scanning and data entry.
• Knowledge of contracts, change orders, and schedules of values in a construction setting.
• Familiarity with digital document organization and file management systems.
• Strong attention to detail and ability to ensure accuracy in all administrative tasks.
• Ability to work independently and manage time efficiently.
• Reliable power and internet for uninterrupted work.
• Proficiency in Microsoft Office (we will provide access to Microsoft-based products).

Additional Requirements:
• You will need to have access to a reliable computer setup with internet connectivity. We will provide Microsoft-based software and offer IT support.
• Although we don’t track online hours, you must be available for progress update calls twice a week and respond to communications promptly.
• Opportunity to convert to a full-time salaried role, which will require working US hours.
