JOB OVERVIEW

IRM is seeking a proactive and detail-oriented assistant to support our Account Management activities. The ideal candidate will be highly organised, possess excellent communication skills, and excel at juggling multiple priorities in a dynamic environment. This role is crucial to ensuring smooth operations, delighting our clients, and adding value, which in turn drives us towards achieving our sales targets.

Key Responsibilities:

Administrative Support:
• Handle email correspondence, respond to client inquiries, and follow up on communications promptly.
• Perform preliminary research for the Account Manager to address client queries such as SEO, product usage, service costs etc.
• Write and distribute meeting minutes and create tasks in SugarCRM for all action items.
Sales Support:
• Assist in preparing sales proposals, quotes, and contracts.
• Track and manage sales leads, updating CRM systems regularly.
• Conduct research to identify potential clients and market trends.
• Support the Sales team in planning and executing small targeted outreach campaigns.
• Prepare proposals and presentations for high-value projects with multiple stakeholders.
• Assist with the preparation, proofreading, and editing of quotes and statements of work.

Account Management:
• Conduct financial reviews, manage Xero activities, address long-outstanding invoices, and review ongoing plans for discounts.
• Provide recommendations for client websites and internal review suggestions.
• Update SugarCRM with board changes and other updates.
• Attend meetings, create tasks for action items, and ensure all meeting commitments are fulfilled, such as web updates, project scoping, research, and SEO tasks.
• Conduct research on industry trends, competitors, and potential business opportunities.
• Support marketing efforts by assisting with content creation and educational email campaigns.

General Support:
• Perform other administrative and support tasks as required by the Account Managers.

Qualifications:
• Proven experience as a Virtual Assistant or in a similar administrative role.
• Familiarity with the web development industry is highly desirable.
• Knowledge of digital marketing and SEO is a plus.
• Excellent written and verbal communication skills.
• Strong organisational and time management skills.
• Proficiency in using office software (e.g., Microsoft Office, Google Workspace) and CRM systems like SugarCRM.
• Ability to work independently and handle multiple tasks with competing priorities.
• Highly resourceful with strong research skills.
• High attention to detail and problem-solving abilities.
• Reliable internet connection and a suitable remote work environment.
