Job Description:
As a Contracts Coordinator, you will play a key role in managing and overseeing all aspects of our rental agreements and contracts. You will be responsible for ensuring the accuracy, compliance, and timely execution of contracts with tenants, property owners, and vendors. This role requires exceptional attention to detail, strong organizational skills, and the ability to communicate effectively with various clients.
Key Responsibilities:
Contract Management:
• Prepare, review, and manage rental agreements, ensuring all terms and conditions align with company policies.
• Coordinate contract renewals, amendments, and terminations in a timely manner.
• Maintain a centralized and organized database of all contracts and related documentation.
Compliance & Risk Management:
• Ensure all contracts comply with legal requirements, company standards, and industry regulations.
• Monitor contract deadlines and obligations, providing timely notifications and updates to relevant parties.
• Identify potential risks in contracts and work with legal counsel to mitigate them.
Communication & Coordination:
• Serve as the primary point of contact for contract-related inquiries from tenants, property owners, and vendors.
• Collaborate with internal teams to ensure seamless contract execution and fulfillment.
• Facilitate communication between all parties involved to resolve any contract-related issues promptly.
Data Management & Reporting:
• Track and report on contract status, including active, expired, and pending agreements.
• Generate regular reports on contract performance metrics, including compliance rates and key deadlines.
• Maintain accurate records of all contract negotiations and modifications.
Follow-up & Record Keeping:
• Follow up on check-ins, check-outs, and maintenance tasks.
• Keep all related records up to date.
Preferred Qualifications:
Education & Experience:
• High school or College Graduate.
• At least 3-6 months of experience in short-term rentals (STR) or midterm rentals (MTR).
Skills:
• Exceptional attention to detail and accuracy in managing documentation.
• Excellent communication and interpersonal skills.
• Ability to work independently and manage multiple contracts simultaneously.
• Strong organizational and time-management skills.
• Strong understanding of contract law and rental agreements.
