**Position Overview:**
We are seeking a highly organized and proactive Virtual Assistant to join our team. This role is integral to supporting our Office Manager, with a wide range of administrative tasks to ensure smooth operations and efficiency within BAM Coatings. The ideal candidate will have excellent communication skills, a strong attention to detail, and the ability to manage multiple tasks effectively.
**Key Responsibilities:**
- **Administrative Support:** Assist the Office Manager with daily administrative tasks, including managing
- **Payroll Assistance:** Support payroll processing by compiling and verifying employee time records and assisting with payroll data entry.
- **Ordering and Inventory Management:** Help with ordering job supplies and equipment, tracking inventory levels, and managing supplier relationships.
- **Recruitment and Job Postings:** Assist with posting job openings, scheduling interviews, and coordinating with candidates as needed.
- **Document Management:** Maintain and organize company documents, including contracts, reports, and employee records, ensuring they are up-to-date and easily accessible.
- **Data Entry and Reporting:** Enter and update data in various systems, prepare reports, and assist with data analysis as required.
- **Customer and Vendor Communication:** Handle inquiries from customers and vendors, providing information and resolving issues in a timely manner.
- **Project Assistance:** Support various projects and initiatives as directed by management, including research, preparation of materials, and coordination of activities.
**Qualifications:**
- **Experience:** Proven experience as an executive assistant or in a similar administrative role.
- **Skills:** Proficiency in MS Office (Word, Excel, PowerPoint) and experience with online communication tools (e.g., Zoom, Teams, Signal, etc.).
