We are seeking a detail-oriented and organized Administrative and Bookkeeping Specialist to join our team. The ideal candidate will be responsible for ensuring the accuracy and integrity of our financial and administrative records. This role requires a strong understanding of bookkeeping, timekeeping, and CRM systems. The successful candidate will play a key role in maintaining efficient business operations by verifying and adjusting timesheets, managing QuickBooks entries, and ensuring that our customer management system is up-to-date.
Key Responsibilities:
Verify and Adjust Timesheets: Review and adjust employee timesheets in Timeero to ensure accuracy and compliance with company policies.
Bookkeeping: Maintain accurate financial records in QuickBooks, including managing transactions, attaching receipts, and reconciling accounts.
Reporting: Generate and analyze regular financial and operational reports from QuickBooks and our CRM system (Go High Level) to support business decision-making.
Receipt Management: Collect receipts from technicians and attach them to corresponding transactions in QuickBooks for accurate record-keeping.
Job Scheduling: Ensure that all future jobs are properly scheduled and visible in our CRM (Go High Level) and timekeeping systems (Timeero).
Customer Invoicing: Confirm that customers have been invoiced in our CRM system (Go High Level). You will not be responsible for sending invoices, only ensuring and verifying all customers have been invoiced.
Opportunity Management: Update and correct opportunity cards in our CRM system (Go High Level) to reflect the most current and accurate information.
Qualifications:
Experience with QuickBooks.
Familiarity with CRM systems and timekeeping tools. Understanding Go High Level and Timeero would be useful, but can be learned.
Strong attention to detail and organizational skills.
Ability to work independently and manage multiple tasks effectively.
Excellent communication skills, both written and verbal.
