We are looking for an Operations Analyst or Senior Analyst to join the Elix team. This role will be dedicated to supporting Elix’s operations teams and assisting with data analysis, project management, inventory forecasting and day-to-day operations. This role’s responsibilities will include analyzing business performance, inventory forecasting, vendor management and supporting daily operations of the business.

About Elix: We run an e-commerce business in the herbal healing space, currently focused on Womens’ menstrual wellness, rooted in Traditional Chinese Medicine (a bonus if you’re familiar). We are US-based 100% Direct to Consumer (DTC) and largely a subscription-based business. We are proudly female-founded and a majority woman-led team.
Job Summary: The Operations Analyst / Sr Analyst will play a crucial role in optimizing Elix’s operational processes, managing inventory and purchase orders, forecasting demand, and maintaining effective communication with vendors. The ideal candidate will have strong project management skills, a keen eye for detail, and the ability to work collaboratively across departments to ensure operational efficiency.
The three main objectives of the Operations Analyst role are:
Increase team efficiency and effectiveness by project management of new and ongoing projects while maintaining effective communications that ensure accountability across internal teams and external vendor partnerships
Drive business results by analyzing and providing insightful data to effectively plan inventory and supply needs and submit purchase orders in alignment with business needs
Provide ongoing support on tech needs and minimize website errors by effectively QA new changes
Key Responsibilities:
Inventory and Purchase Order Management:
Inventory forecasting and cash forecasting needs based on sales data and seasonal trends. Monitoring inventory levels and adjusting orders to meet demand fluctuations.
Oversee the inventory management process, including tracking, ordering, and replenishing stock.
Support in conducting COGS updates and inventory payments.
Ensure accurate and timely processing of purchase orders.
Conduct regular audits to ensure inventory accuracy.
Coordinate invoice payments and timing with receipt of goods and quality assurance.
Forecasting:
Analyze historical data and market trends to develop accurate demand forecasts.
Develop and maintain dashboards and reports to track key performance indicators (KPIs) and business metrics.
Adjust forecasts based on changing market conditions and business needs.
Ensure data accuracy and integrity by performing regular audits and validations.
Provide insights and recommendations for inventory and purchasing strategies.
Ad Hoc Reporting and Data Analysis:
Pull and analyze ad hoc reports as requested by management and other departments.
Collect and analyze data from various sources, including sales, website traffic, customer feedback, and market trends
Conduct in-depth analyses of customer retention data to uncover key insights
Project Management:
Assisting in managing day to day operations needs such as project management, purchase order submissions, managing various in flux projects on a as needed basis
Edit and develop existing SOPs based on best practices, changing conditions, etc. Serving as the internal reminder resource to make sure that all milestone deadlines are met and minimize roadblocks
Monitor project progress and provide regular updates to stakeholders.
Identify and mitigate potential risks to project success.
Have a keen eye for insights and improvements. Share these insights and possible improvements with Operations Manager and work together to implement new processes
Vendor Communications and Follow-Up:
Communicate effectively to ensure timely delivery of goods and services.
Conduct regular follow-ups to ensure vendor compliance with contract terms and performance standards.
Monitoring Website Performance:
Regularly monitor website changes and updates to ensure consistency and accuracy.
Analyze website data to identify trends and areas for enhancement.
Ensure that all changes align with company policies and standards.
Who You Are
Ability to work 40 hours per week over 5 days, preferably EST hours
Exceptional English writing capabilities (understanding American terminology and expressions)
Prior experience of 3-4 years with operation data analysis preferably in the DTC space. Preferably at an American DTC e-commerce startup in the women’s CPG, wellness or healthcare industry and experience with a subscription-based company
Proven experience in operations analysis, project management, inventory management, vendor relations, and data analysis.
Highly familiar with eCommerce platforms, particularly Shopify and Recharge.
Ability to work in a fast-paced environment
Strong analytical and problem-solving skills.
Proficiency in using project management software and inventory control systems.
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) & Google workspace
Detail-oriented with a focus on accuracy, efficiency and organization
The ability to take on independent tasks and proactively report up regarding status, roadblocks and questions

A Bonus If You:
Project Management Professional (PMP) certification.
Experience with ERP systems.
Advanced knowledge of forecasting techniques and tools.
Proficiency in data analysis tools such as SQL, Tableau, or similar.
Deeply proficient in Excel and analyzing large sets of data
