Job Summary
We are seeking a highly organized and technically skilled Virtual Assistant to oversee the Argheri refractory ovens segment. This role involves managing client interactions with Chris, the CEO, as the closer over the phone as the main contact. Your role will involve overseeing quotes and orders, and coordinating production with the factory. The ideal candidate will act as a project manager, handling scheduling, client communication, and ensuring smooth operations between our team and the factory. Familiarity with AI tools like ChatGPT and system automation is favorable, though full training will be provided.

Role Overview
As our VA, you'll immerse yourself in a multifaceted role central to our vibrant business. You'll manage diverse tasks, from project management and sales assistance to digital marketing, playing a crucial part in driving our operational efficiency, customer engagement, and overall business growth.

Key Responsibilities
Client Liaison and Communication:

Serve as the primary point of contact for clients interested in Argheri refractory ovens.
Provide detailed product knowledge and technical information to clients.
Handle client inquiries, manage expectations, and resolve issues promptly.
Quoting and Order Management:

Prepare and manage quotes for Argheri refractory ovens.
Oversee the order process, from initial client contact through to production and delivery.
Ensure accurate and timely communication of client requirements to the factory.
Production Coordination:

Work closely with the factory to manage production schedules.
Ensure that client specifications are accurately conveyed and met.
Monitor production timelines and update clients on progress.
Project Management:

Oversee the entire process of client orders, from quoting to delivery.
Ensure all projects are delivered on time, within scope, and within budget.
Handle any technical issues that arise during production and work with the factory to resolve them.
Client Relationship Management:

Build and maintain strong relationships with clients, ensuring high levels of satisfaction.
Provide regular updates to clients on their orders and address any concerns they may have.
Identify opportunities to upsell or cross-sell additional products.

Email
Management:

Efficiently handle and organize incoming emails and quotes for new pizza oven builds and installations.
Provide timely responses to client inquiries and follow up as needed.
Coordinate with the team for specific communications.
Quote and Invoice Management:

Create, send, and follow up on invoices.
Keep track of payments and maintain financial records.
Content Creation:

Write engaging articles and content for the Argheri pizza oven website, utilizing training, SOPs, and AI tools.
Collaborate with the team to generate content ideas that showcase our services and pizza oven expertise.
An understanding of SEO and keyword research is beneficial.
Website Management:

Regularly update the website with new photos and videos from pizza oven builds.
Ensure the website content is current and accurately reflects our brand.
Customer Reviews Management:

Send out requests for reviews to customers post-oven build and installation.
Compile and organize received reviews for marketing purposes.
Social Media Management:

Assist in managing social media accounts (Facebook, Instagram, etc.).
Schedule and post content, engage with followers, and monitor social media trends.
Skills and Qualifications
Strong communication and interpersonal skills, with fluency in English.
Technical understanding of refractory ovens or similar products.
Experience in project management, particularly in a technical or manufacturing environment.
Strong organizational skills and the ability to manage multiple projects simultaneously.
Familiarity with AI tools like ChatGPT and system automation is favorable, though not essential as training will be provided.
Ability to work independently and make informed decisions.
Working Conditions:
40 hours per week minimum, with a 1-hour break per day.
Work from home, ensuring availability during designated Sydney office hours.
Qualifications and Skills:
Educational Background: A degree in Business Administration, Marketing, Communication, Hospitality, Construction, or a related field is beneficial but not mandatory. Relevant experience can compensate for the lack of formal education in these areas.
Technical Skills: Proficiency in using MS Office Suite, Google Workspace, and familiarity with website management tools. Basic graphic design skills for creating engaging social media posts can be a plus.
Digital Marketing and Social Media Proficiency: Knowledge or experience in digital marketing, including SEO, content creation, and social media management, would be highly advantageous.
Financial Acumen: Basic understanding of invoicing, budget management, and financial record-keeping.
