Transaction Coordinator/Administrative Assistant
Location: Remote
Hours: 20-40 hours per week (flexibility required)

We pride ourselves on delivering exceptional service and results for our clients, and we are looking for a highly organized and experienced Transaction Coordinator/Administrative Assistant to join our team.
Role Overview:
The Transaction Coordinator/Administrative Assistant will play a crucial role in ensuring smooth and efficient operations across both our real estate agent business and wholesaling activities. This individual will manage transaction coordination, handle a variety of administrative tasks, and support the team in maintaining high standards of service.
Key Responsibilities:
- Transaction Coordination:
- Manage all aspects of real estate transactions from contract to close.
- Draft and review contracts, offers, and counter-offers.
- Coordinate with title companies, lenders, inspectors, and other parties involved in transactions.
- Track deadlines and ensure all parties meet their obligations on time.
- Prepare and maintain transaction files, ensuring all documentation is complete and accurate.
- Administrative Support:
- Create and manage MLS listings, including coordinating photos, writing descriptions, and entering data.
- Schedule and coordinate property showings, inspections, and repairs with contractors.
- Conduct property research, including checking county records and searching for covenants.
- Open client files, prepare seller net sheets, and draft contracts and addenda.
- Maintain organized records in Google Docs/Sheets and other software platforms.
- Assist with lead management and data administration.
- Communication:
- Serve as the primary point of contact for clients, partners, and other stakeholders during transactions.
- Coordinate communications via text, call, and
- Support the team by managing communications in Slack and other collaboration tools.
- Marketing and Systems:
- Assist with marketing efforts, including managing Zillow Premier Agent listings and other online platforms.
- Help create and refine systems and processes to improve team efficiency.
Qualifications:
- 5+ years of experience in real estate, specifically in a transaction coordinator or administrative assistant role.
- Strong knowledge of real estate transactions, contracts, and industry tools (MLS, DocuSign, Zip Forms, etc.).
- Excellent command of the English language, with strong spelling, grammar, and communication skills.
- Highly organized with a keen attention to detail and the ability to manage multiple tasks and deadlines.
- Proficiency in Google Workspace (Docs, Sheets, Calendar) and other relevant software tools.
- Ability to work independently in a remote environment while being a reliable team player.
- Flexibility to adapt to changing priorities and a fast-paced work environment.
Preferred Skills:
- Experience with wholesaling operations and tools like REISift, PropStream, and Slack.
- Familiarity with the real estate markets in your operating regions.
Compensation:
Competitive, commensurate with experience.
