United Independent Experiences, a subsidiary of United Independent Public Benefit Corporation and a leader in the Independent Movement through events, is seeking a meticulous and dynamic Event Production Company Administrator. This role requires exceptional attention to detail, project management expertise, accounting proficiency, and strong communication skills. Scope of Work:
• Executive Assistance: Provide administrative support to both the Senior and Associate Producers, assisting in the development and execution of the brand, including the upcoming INC’24 Denver convention September 17-19.
• Software Proficiency: Familiarity with tools such as Asana, Slack, Google Workspace, DocuSign, Miro, Canva, QuickBooks or Wrapbook, Microsoft Office, Adobe, Whova, and general data management integration software.
Daily Responsibilities:
• Track team tasks and project management activities.
• Schedule meetings and events.
• Oversee staff and partner onboarding processes.
• Manage data archiving, asset tracking, and accounting record-keeping.
• Ensure timely submission and accurate filing of records in the master database.
• Keep trackers and ledgers updated with new transactions and changes.
• Assist in advance communications to all event production participants.
• Attend meetings and convert notes into actionable tasks.
• Monitor text messages (iMessages & Slack messages) between Senior and Associate Producer and add notes, tasks, and deliverables to the list.
• Review recorded calls and track tasks and deliverables.
Qualifications:
• Excellent communication skills.
• Interest or experience in creative, political, and event-related fields.
• Ability to work closely under the direction of producers to ensure tasks are performed according to the work-back timeline checklist.
• Production experience is required.
• Must be able to work at least half the time overlapping with the Central Time Zone.
