Position Overview: QuickBooks Expert & Administrative Assistant
We are seeking a trustworthy and detail-oriented person to own a variety of administrative tasks and to maintain client accounts in QuickBooks. This person should be deeply skilled in QuickBooks Online, Quickbooks Desktop understand core accounting principles, be competent in using Microsoft Office tools, and be highly organized.
Key Responsibilities:
A. Bookkeeping/QuickBooks Management:
• Monthly Clients:
- Conduct monthly bank and credit card reconciliations.
- Record and categorize all financial transactions.
- Generate and review monthly financial statements for accuracy.
- Provide monthly budget versus actual reports.
• Quarterly Clients:
- Conduct quarterly reviews of financial transactions.
- Prepare and file quarterly tax reports.
- Assist in the preparation of quarterly financial statements.
- Conduct quarterly meetings with clients to review financial performance.
• Annual Clients:
- Conduct annual financial data reviews and reconciliations.
- Prepare and file year-end financial statements.
- Assist with year-end tax preparation and filing.
- Coordinate with accounting team for annual audits and reviews.
B. Administrative Support:
• Provide general administrative support to the team as needed.
• Karbon:
o Manage Tax Processing and Delivery of Tax Returns to Clients.
o Prepare and send invoices to clients.
o Follow up on outstanding payments and manage accounts receivable.
o Assist with client billing inquiries and disputes.
• Microsoft Teams:
o Manage and coordinate personal and professional calendars for executives.
o Schedule meetings, appointments, and travel arrangements.
o Send reminders and follow-ups for important deadlines and events.
• Microsoft SharePoint:
o Handle confidential information with discretion and professionalism.
o Assist with document management and filing systems.
Qualifications:
• Proven experience with QuickBooks Online, Quickbooks Desktop and financial record-keeping.
• Strong organizational and time management skills.
• Excellent interpersonal and communication abilities.
• Ability to handle confidential information with integrity.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Sharepoint).
• Detail-oriented and capable of managing multiple tasks simultaneously.
