We are a dynamic business coaching firm dedicated to transforming how business owners and executives operate. Our mission is to help clients grow, organize, and streamline their businesses, moving from day-to-day operations to strategic leadership. We offer short-term, high-impact coaching engagements, leadership and management coaching, and high-level problem-solving services, including business brokerage and syndication.

We are seeking a highly motivated and organized Business Operations Assistant to support the founder with both professional and personal tasks. This role is critical in freeing up the founder’s time to focus on high-level coaching and consulting. The ideal candidate is not just looking for a job but is eager to learn, grow, and eventually take on more significant responsibilities within the business.

Key Responsibilities:

Administrative Support: Manage schedules, pay bills, handle email correspondence, and provide general administrative assistance to free up the founder’s time.

Client Management: Assist in the client onboarding process, including sending out proposals, collecting payment information, ensuring smooth communication, and providing email support.

Data Management: Process and analyze client data, prepare summaries and reports, assist with charting and process development.

Project Management and CRM Systems: Manage and maintain project management software (e.g., Notion) and CRM systems (e.g., Pipedrive) to ensure accurate and up-to-date information. Enter data, track client interactions, and help streamline business operations.

Document Handling: Draft, organize, and send documents for signature; create basic contracts and offering memorandums.

Facilitation: Support the founder in brokering businesses and connecting clients with lenders by managing details, tracking progress, and handling transactional items. Assist in executing ideas and solutions provided by the founder.

Personal Assistance: Handle personal tasks such as scheduling, managing personal finances, and other duties that help reduce the founder’s workload.

Requirements:

Proven experience in an administrative or business operations role.
Needs a minimum of 5 years experience.
Be able to take control of projects, work and be on top of the executive when he/she needs to take care of things.
Experience with the program “Notion” or any similar tool.
Strong organizational skills and attention to detail.
Self-motivated and proactive, with the ability to work independently and manage multiple tasks without constant supervision.
Experience with project management software (e.g., Notion) and CRM systems (e.g., Pipedrive) is essential.
Basic understanding of business financials and the ability to analyze data.
Excellent communication skills, both written and verbal.
A proactive attitude with a willingness to learn, grow, and take on more responsibilities within the company.

Perks:

Hourly rate - $3.50-$5.00 Depending on experience.
Health Maintenance Organization (HMO) benefits.
13th Month Pay.
Night Shift - New York Time.
Permanent Work From Home / Home-based position: High-Speed Internet Connection and a Desktop or Laptop computer with great specs are a must!
