ABOUT THE ROLE
The administrator is responsible for providing ongoing support to the Medical Advisor and Clinical Leadership team.
The ideal candidate must enjoy working within a fast-paced entrepreneurial environment that is mission—and results-driven.
Expert-level written and verbal communication skills, strong decision-making ability, and attention to detail are important success factors in this position.
Responsibilities include:
Supporting the MD Advisors/Leads
Assisting the MD and Clinical Leadership team (Clinical Support Manager, Medical Director, MD Leads) with daily administrative duties.
Meeting management, which includes taking notes during meetings, preparing documents such as agendas and following up on action items for the team
Managing the onboarding process for new MD Leads and Advisors, including coordinating training sessions, preparing necessary materials, and providing support when they start at the company.
Facilitate information exchange between teams and ensure process alignment, promoting cross-functional collaboration.
Develop and manage a centralized database of Standard Operating Procedures (SOPs) and other essential documentation. This involves creating the framework for the database, ensuring that all relevant information is accurately documented and regularly updated.
Ensure that the clinical information and documentation in the provider knowledge base are regularly reviewed and updated to maintain accuracy and relevance.
Supporting the Leads by monitoring tasks in the CRM system to ensure that all Provider interactions and tasks are properly documented, updated, and completed in a timely manner.
Event Management: Support MD Leads on quarterly All Docs meetings by creating event tickets on the CRM, managing the action items leading to the event, sending calendar invites / reminders prior to the event.
Supporting the Clinical Team
Lab Management and Follow-up
Be the point of contact for laboratory/patient issues, lab routing and results management.
Support the medical team by ensuring providers have the correct address listed and following up with doctors.
When laboratories contact Rocket Doctor, this role will work with Provider Success.
This role will work closely with each provincial advisor, and our instruction forms will be current.
Referral Support
Follow up on status of outstanding referrals
Contact Physician offices to confirm receipt of referral
Locate center specific referrals forms and fill out demographics
Work closely with Referral clerks to support them/help with troubleshooting issues
Investigate status of referrals when patients, MD or admin team inquire
Main Inbox Clinical Support
Help with locating imaging/diagnostic test requisitions
Filling in the demographic information of
Contacting patients to go through MRI questionnaire
QUALIFICATIONS
Excellent written and verbal English language skills are required
Excellent communication, administrative, and organizational skills,
Ability to multitask and prioritize tasks with excellent attention to detail
Demonstrated proactive approaches to problem-solving,
Highly resourceful team-player, with the ability to work independently in a virtual and asynchronous environment,
Ability to maintain a high level of integrity and discretion in handling confidential information,
Forward-looking thinker, who actively seeks opportunities and proposes solutions,
Experience with EMR and CRMs is a plus but not required.
