Job Title: Virtual Billing and Payroll Specialist, US Overnight phone support
Location: Remote
Employment Type: Full-Time US based hours, Mountain Time Zone approximately 7pm-4am Saturdays through Wednesdays with a 1 hour lunch break. (This is 9am-6pm Sunday-Thursday local time) Exact schedule may change based on business needs and can be somewhat flexible. We do observe daylight savings time as well.

We are seeking a proficient and detail-oriented Virtual Billing and Payroll Specialist to join our team and manage our billing and payroll processes efficiently.
We are looking for someone to primarily help with billing and payroll, but will also train for phone support as a backup when needed. Will be expected to handle 2-6 phone calls or texts most nights.
Job Responsibilities:
Billing Management:
Prepare and send out invoices to clients accurately and timely.
Track payments and follow up on outstanding invoices.
Reconcile billing discrepancies and resolve client billing issues.
Maintain detailed and organized records of all billing transactions.
Payroll Management:
Process payroll for all employees, ensuring accuracy and compliance with relevant regulations.
Maintain payroll records, including timesheets, wage calculations, and deductions.
Handle payroll queries and issues from employees promptly.
Ensure timely and accurate submission of payroll taxes and other required filings.
Financial Reporting:
Generate financial reports related to billing and payroll as required.
Assist in budget preparation and financial forecasting.
Provide insights and recommendations to improve billing and payroll processes.
Software Management:
Utilize QuickBooks Online for managing billing and payroll activities.
Ensure data integrity and accuracy within QuickBooks Online.
Stay updated with the latest features and best practices for QuickBooks Online.
Overnight Support:
Answer 5-6 calls per night and assist with any emergency needs from our clients or care providers.
Notify staff and clients of changes and reschedule if a care provider has an urgent need for time off that cannot be handled in the morning.
Ensure clear communication and provide excellent customer service to clients and employees.
Qualifications:
Experience in Accounting, Finance, Business Administration, or a related field.
Proficiency in QuickBooks Online is mandatory.
Strong understanding of payroll regulations and compliance.
Excellent attention to detail and organizational skills.
Strong communication and interpersonal skills.
Ability to work independently and manage multiple tasks simultaneously.
Proficiency in MS Office Suite, particularly Excel.
Reliable internet connection and a dedicated home office setup.
