An opportunity has arisen for an Executive Personal Assistant within a property management business. You will work remotely and be required to provide personalised secretarial and administrative support in a well-organised and timely manner and will work on a one-to-one basis on a variety of tasks related to the director's working life and communication.
The business, Stayful, is a growing short-term rental management business in the UK. We specialise in providing accommodation to guests across the UK on a short-term basis and can offer property investors and landlords a hassle-free management service, taking care of all aspects of renting a property on the short-term rental market. We have grown a modest portfolio of properties with many more in the pipeline and expectations of growing significantly this year.
The successful candidate will provide direct assistance to the director to help them fulfil their daily business or personal responsibilities. Duties will include the following:
Email
- Screen
- Unsubscribe from any newsletters that are not relevant.
- Handle
- Respond to meeting requests and book these in the calendar.
- Booking and scheduling meetings or appointments.
- Manage the calendar.
- Monitor
Admin
- Implement support systems and contribute to the smooth operation of our business by creating and maintaining effective processes.
- Handle urgent ad hoc tasks.
- Create action lists and manage progress on these.
- Note and minute-taking during company meetings.
Invoicing and payments
- Create a report twice a week of any outstanding invoices that require paying, including payment details.
- Log all payments in Xero and elsewhere.
- Fill out monthly client statements with the correct income & expense data. Cross-check check this is correct.
- Send monthly statements to clients each month.
- Create a monthly report with client payouts to be made.
Social media
- Help create and social media schedule on a weekly basis.
- Assist with copywriting for social media posts.
- Research ideas for new posts.
- Respond to relevant enquiries through social media.
Data collection
- Regularly check websites for new properties or land that fit specific criteria.
- Record any positive results and create a report on these each week.
- Send
Any successful candidate will need to demonstrate a strong ability to problem solve and use their initiative, often independently, whilst exceptional attention to detail is also expected. Outstanding organisational and time management skills are a must. You will have proven work experience as an executive personal assistant and be a great communicator. Therefore a very good level of English is essential. Additionally, experience using software such as Slack,
This role is part-time and will initially be for 10 hours each week 9 am - 11 am (GMT) Monday - Friday. It will start with a 3-month trial period, following that, if successful, will become permanent and additional hours may be available as the role develops. The pay will be negotiable depending on experience and will be set at an hourly rate.
