Responsibilities:
• Draft and send bills to clients accurately and in a timely manner.
• Review files to ensure trust balances are accurately maintained and reconcile any discrepancies.
• Follow up with clients regarding payments, including monitoring regular payment plans and arranging refunds when necessary.
• Answer client queries regarding bills and payments courteously and professionally.
• Enter credit card disbursement payments into Affinity or similar billing software.
• Manage files efficiently, including compiling weekly work-in-progress (WIP) and debtors reports.
• Coordinate IT support for the office, including addressing computer issues, login problems, and other technical issues.
• Answer incoming calls and direct them appropriately, as well as schedule appointments as required.
• Provide administrative support to lawyers and administrative staff as needed, including assisting with document preparation, filing, and other tasks.
Required Skills and Experience:
• Bachelor's degree or equivalent experience in a related field.
• Previous experience in a legal assistant role, preferably in a law firm setting.
• Proficiency in billing software such as Affinity or similar programs.
• Strong attention to detail and accuracy in all tasks.
• Excellent communication skills, both written and verbal.
• Ability to multitask and prioritize tasks effectively in a fast-paced environment.
• Knowledge of legal terminology and procedures.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Ability to handle confidential information with discretion and professionalism.
• Strong organizational and time management skills.
Preferred Qualifications:
• Experience with trust accounting and managing trust funds.
• Familiarity with generating and analysing financial reports.
• Prior experience with IT support coordination.
• Paralegal certification or coursework.
