The Virtual Assistant to the Director of Operations (Policy & Contractors) will play a pivotal role in ensuring the smooth operation of our sales and project management processes. Their contribution directly impacts our ability to provide exceptional service to our clients while maintaining strong relationships with material providers, contractors, and the operations team.
Role & Responsibilities:
1. Material Provider Follow-up:
Maintain regular communication with material providers to ensure timely deliveries and efficient inventory management.
2. Contractor Coordination:
Collaborate with contractors to obtain quotes and schedule projects effectively, ensuring seamless project execution.
3. Operations Team Maintenance Scheduling:
Schedule and coordinate maintenance tasks for the operations team, ensuring smooth workflow and project progress.
4. Client Follow-ups:
Conduct routine follow-ups with current clients to gauge satisfaction levels and promptly address any concerns or questions. Report findings to the Director of Operations.
5. Information Research:
Perform research to gather information related to permits, grants, loans, and programs relevant to our projects online that are offered by the city, province, and federal government.
6. Client Experience Enhancement:
Maintain weekly
Qualifications:
Completion of post-secondary education in any field of study.
Highly organized with exceptional attention to detail.
Customer service-focused with excellent communication skills.
A proactive problem-solving approach with a positive "can-do" attitude.
Knowledge of the trades is an asset but not required.
Must have a working computer and a usable workspace with internet access.
Ability to perform tasks assigned within 24 hours.
