Hello!

I am a startup founder searching for an experienced, talented, proactive, and highly resourceful Executive Assistant to help with a variety of personal and professional projects. This is a full-time role, and my hope is this would be a long-term relationship.

Responsibilities

This EA role covers a wide range of responsibilities. Key areas are:

// Manage Communications > Help me manage my email and other communications to ensure I do not get behind and am timely in my replies to others.
// Proactively Build & Maintain Network > Help me build and maintain my professional network. Manage outreach to new people, and make sure I proactively stay in touch with my existing network.
// Manage Calendar & To Do List > Help manage my calendar/scheduling, and also my to do list to help me get things done.
// Conduct Research: Help conduct research on any number of topics. This typically is internet research, but occasionally could require phone-based research. This could be anything from finding good restaurant recommendations in Bueno Aires, to researching M&A activity for eCommerce marketing agencies, to researching the best software to creative wire-frames for a B2B-landing page.
// Hire & Manage Resources > Some projects may require additional temporary assistance from others. This could be a graphic designer, a VA, a web developer, or others. I would need you to help source these people (for example, via Upwork), vet and hire them, and manage them to help complete various tasks.
// Other Activities > There will be a wide variety of additional tasks I'll need your help with not listed above. Some examples could be: plan and book travel for me, help me design a simple B2B website to test an idea, build a budget for a photoshoot, or create SOPs for B2B outreach - this role will be very diverse so there could be a lot of unexpected tasks pop up!

About You (Qualifications)

Required Criteria:

// 3-5+ Years EA or VA Experience with US-based client > you've done this role before!
// Fluent English > excellent written and verbal communication skills. you're comfortable on the phone and are familiar with colloquial English phrases and idioms.
// Experience Hiring & Managing Others > You have previous experience hiring and managing others - both full time and part-time / project-based roles.
// Highly Organized > you must have exceptional organizational and time-management skills because I do not! You know to effectively prioritize tasks effectively for yourself and others
// Proactive and Resourceful > Able to follow directions while also being able to figure things out independently and improvise as needed. You are a quick learner.
// Technology Proficiency > Comfortable with technology and able to quickly adapt to new software and tools.
Strongly Preferred
// Able to work US hours > not always a strict requirement but to start this is important

Preferred Criteria:

// 5+ Years EA experience working for US-based client
// Previous Project Management Experience > you know how to manage a complex project to completion
// Strong Proficiency with Microsoft Excel / Spreadsheets > you are very comfortable with numbers
// Familiarity with the eCommerce industry > Direct-to-Consumer, Amazon, etc.
