Event Operation / Outreach Executive

Location: Will work in either Hochiminh office or Jakarta office.

1) Outreach of YA events, Community Engagement Program, English Camp
• To compile database of schools in Vietnam, Cambodia and other regional countries
• To make appointment to schools for outreach mainly in Vietnam and Cambodia (but may include other regional countries)
• To visit the schools to do outreach mainly in Vietnam and Cambodia (but may include other regional countries)
• To write report on outreach visits and compile them into database
• Follow up communications via email and phone calls to schools to encourage the schools to sign up for the conference
• Coordinate with the participating schools / agents to obtain registration forms and consent forms
• Attend to request and inquiries from the schools / agents
• Contact and follow up with individuals who inquired through website

2. Publicity of YA events, Community Engagement Program, English Camp
• To design posters and brochures for Vietnamese market
• Update brochures from time to time in Vietnamese
• To create YA Facebook page in Vietnamese, and plan Facebook campaign (to post information, etc) to engage youth in Vietnam

3. Tour leading (You are likely to lead the group coming to the conference from Vietnam if the group size is big)
• Brief the schools on the conference prior to the conference. Make sure they understand what is included and what is not, Do’s and Don’ts.
• Fly with the group
• Stay in the student hostel and make sure that the group are OK and at times, you may need to discipline the students if they behave badly.
• Lead the tours
• Facilitate the group discussion
• Help YA HQ for the execution of the conference (such as serving food, taking photo, etc)
• Collect feedback form
• Safely bring the students back to Vietnam
• Facilitate the community work that the students present at the conference
