JOB OVERVIEW

We are looking for a dynamic COS/EA to report to the CEO of a fast growing organisation. The CEO has vested interests in multiple organisations globally, therefore competence in working across multiple time zones, and willingness to operate outside standard business hours during the week, are key requirements of this role.

Directly reporting to the CEO, we are looking for an Executive Assistant that is creative and enjoys working within an entrepreneurial environment; you must also be results-driven and customer-oriented.

In this role, you will be the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO. You will also liaise with the board of directors, senior management teams and all staff members of the organisation; in addition to overseeing special projects to support the business in achieving its mission and objectives.


KEY RESPONSIBILITIES:
Completes a broad variety of administrative tasks for the CEO including managing an active calendar of appointments; completing management reports; composing and preparing email correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Communicates directly, and on behalf of the CEO, with Board members, external stakeholders, staff and others, on matters related to the CEO's initiatives.
Provides a bridge for smooth communication between the CEO and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management and contractors.
Provide accurate and specialised advice including anticipating problems and positively contributing to the management of any foreseeable issues.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting professional, high-quality presentations, acknowledgement emails, personal correspondence, and other tasks, such as system administration in relation to approvals that facilitate the CEO's ability to effectively lead the organisation.
Mentor and supervise other staff members within the business. Where necessary you will be required to set priorities for their work area, compliance to procedures and regulations, contribute to team cohesion and ensure high quality of output.



WORK EXPERIENCE & SKILLS
Strong organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail.
Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board of directors and any external parties.
Expert written and verbal communication skills.
Proven ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrate the highest level of customer/client service and response.
Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
Strategic-thinker, who actively seeks opportunities and proposes solutions.
Solid working knowledge of Microsoft Office Software and Internet.
Demonstrate willingness to learn new software/ applications expeditiously as per growing demands of the organisation.



WORKING HOURS:
Your regular work hours will be from 8am to 6pm MON-FRI (Australian Eastern Standard Time, Queensland). However, based on the CEO's schedule you will need to be available outside standard business hours during the week.


SUMMARY:
You must be an independent and self-motivated professional - with strong emotional intelligence and good judgement. You'll be able to read a situation and act accordingly, whilst juggling a demanding workload.

You must have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, and the ability to maintain a realistic balance among multiple priorities. You will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with utmost discretion.
