Virtual Property Manager (Maintenance Role)

Hey there!

We’re Houseshaw, a friendly and fast-growing estate agency based in the UK. We manage a range of rental homes and take pride in giving our landlords and tenants a personal, professional experience.

We’re now on the lookout for a Virtual Assistant (Property Manager – Maintenance Role) to join our team and help us keep our properties in excellent condition. You’ll be working closely with our UK-based team, coordinating maintenance tasks, handling contractor communications, and ensuring every repair is handled smoothly from start to finish.

What You’ll Be Doing:

Managing and tracking all property maintenance requests.
Liaising with contractors — assigning jobs, following up on progress, and reviewing completed work.
Coordinating with landlords for repair approvals and providing regular updates.
Reviewing quotes and invoices for maintenance works.
Maintaining property compliance (gas safety, EICR, EPCs, etc.) and scheduling renewals as needed.
Updating and managing records on our CRM system (Street).
Responding to emails promptly and communicating clearly with tenants and landlords.
Supporting the property management team in ensuring timely and high-quality maintenance service.

What We’re Looking For:

Experience in property management or maintenance coordination, ideally within the UK property sector.
Excellent written and spoken English — you’ll be handling professional communication daily.
Strong organizational skills and attention to detail.
Tech-savvy and comfortable using CRMs and cloud-based tools (experience with Street CRM is a bonus).
Reliable internet connection and a quiet workspace.
Happy to work UK hours (afternoon to late evening PH time).
Proactive, dependable, and genuinely enjoys problem-solving.
