High-volume Canadian real estate agent seeking a virtual real estate assistant and transaction coordinator. The ideal candidate would be a detail-oriented professional who is very experienced real estate sales, MLS, contact management system and can dedicate full-time hours for graveyard shifts. Active listening skills as well as voice is required as real estate estate is mostly on the road.
Below is a full list of responsibilities:
(a) Managing Correspondence: Save the client's time by handling correspondence, including reading, researching, and routing
(b) Contact Management: Develop and implement systems to efficiently manage and safeguard the client's contacts. Handle incoming phone calls, text messages, and other communications. Optimize follow-up procedures to ensure effective engagement with prospects and all prospects receive the listings matching their requirements.
(c) Prospecting Support: Conduct research to identify potential customers and buyers. Follow up with prospects and coordinate property viewings to facilitate their decision-making process.
(d) Market Analysis: Research and prepare comparative market analysis to assist in customer and seller prospecting. Follow up with interested parties to provide relevant market information.
(e) Property Optimization: Ensure that all properties are ready for showings. Coordinate staging, cleaning, photography/videography, signage, and key arrangements to enhance the presentation and appeal of the properties.
(f) Transaction Coordination: Assist in coordinating real estate transactions from beginning to end. This includes preparing and organizing necessary documentation, liaising with clients, agents, and other involved parties, and ensuring accurate and timely completion of all paperwork.
(g) Bookkeeping Assistance: Complete daily bookkeeping and recording of receipts under the direction of Client and Client’s accountant.
(h) Productivity Enhancement: Improve team productivity by planning and scheduling meetings, conferences, teleconferences, and travel arrangements for the client, tea
(i) Marketing Assistance: Support property marketing initiatives as directed by the marketing manager. This may involve various tasks related to advertising, promotion, and online presence.
(j) Property Management Support: Provide assistance to the client's property management company as instructed. This may involve tasks related to tenant communication, lease administration, rent collection, and maintenance coordination.
(k) Organize and Events: Organize client appreciation events remotely, attend online sales meetings, functions, training seminars, and other events as requested by the client.
