Key Qualifications:
* Proven experience as an executive assistant or virtual assistant.
* Excellent organizational and time management skills.
* Strong proficiency in
* Familiarity with Amazon ordering processes.
* Ability to coordinate travel arrangements efficiently.
* Basic knowledge of bookkeeping principles and accounting software (e.g., QuickBooks). You will need to interface with the CEO’s current book keeper on occasion.
* Prior experience in rental property management is a plus.
* High level of discretion and confidentiality.
* Strong problem-solving skills and attention to detail.
* Dedicated, efficient, and has a proactive approach to problem-solving.
Job Responsibilities (in order of importance):
MARKETING SUPPORT:
? Organize and prioritize incoming
? Draft and respond to
? Flag urgent messages and ensure timely follow-up.
? Maintain an organized
Order Management:
? Place orders for office supplies, equipment, and other necessities on Amazon.
? Track orders and ensure timely delivery.
? Handle returns and exchanges as needed.
Rental Property Management:
? Oversee the management of one short-term rental (STR) property and one long-term rental property.
? Handle guest inquiries, bookings, and check-ins for the STR property.
? Manage rental agreements, lease renewals, and tenant communications for the long-term rental property.
? Coordinate maintenance and repairs for both properties as needed.
Basic Bookkeeping:
? Maintain accurate records of financial transactions using accounting software.
? Process invoices, payments, and reimbursements.
? Assist in preparing financial reports and budgets.
Travel Management:
? Coordinate travel arrangements including flights, accommodations, and transportation for executives.
? Prepare detailed itineraries and ensure all travel plans align with executive schedules.
? Manage travel expenses and reconcile receipts.
General Administrative Tasks:
? Undertake miscellaneous tasks and projects as they arise.
? Act as a fast learner, adapting to new tools and processes efficiently.
? Maintain organization and efficiency in all tasks and communications.
