Overview

Firefly Marketing is a digital performance and automation agency that builds systems to help brands grow faster, smarter, and more efficiently through data, technology, and design.
We’re seeking a Project Manager who thrives in structured chaos — someone who can connect creative, technical, and strategic teams while keeping every moving part accountable.

This role requires exceptional organization, communication, and leadership skills with a deep understanding of marketing operations, AI-driven systems, and digital production workflows.

Key Responsibilities

Project Oversight: Manage multiple marketing and tech projects across departments from kickoff to delivery.

Planning & Scheduling: Build timelines, milestones, and dependencies in ClickUp (or similar project management platforms).

Cross-Team Coordination: Bridge communication between marketing strategists, developers, designers, and account managers.

Workflow Optimization: Identify process inefficiencies and improve delivery speed using automation and templates.

Quality Assurance: Ensure that all deliverables meet Firefly’s creative, strategic, and technical standards.

Client Liaison: Participate in client updates, status reports, and handoffs to maintain clarity and confidence.

Reporting: Track team velocity, project KPIs, and campaign delivery performance through dashboards and reports.

Integration Support: Collaborate with technical staff to ensure seamless CRM, AI, and automation system operations.

Required Skills & Experience

3–5 years of professional experience in project management within a marketing, SaaS, or digital agency environment.

Strong command of project management methodologies — Agile, Scrum, or Kanban.

Proven ability to manage cross-functional teams (design, development, content, and automation).

Advanced experience in ClickUp, Asana, or Jira for task management and team coordination.

Proficiency with Google Workspace, Slack, and CRM platforms (Salesforce or HubSpot preferred).

Strong understanding of creative-to-development handoff processes and sprint-based workflows.

Analytical mindset with the ability to turn data into actionable performance insights.

Outstanding communication and documentation skills.

Preferred Qualifications

Experience managing AI-integrated marketing systems or automation tools.

Familiarity with Figma, FastAPI, or React-based project structures (to collaborate effectively with developers).

Knowledge of SEO, PPC, or digital campaign analytics and how project pacing impacts ROI.

Prior work experience in agencies managing U.S.-based or global clients.

Performance Metrics

On-time project delivery and milestone consistency.

Team efficiency and reduction of missed deadlines or blockers.

Quality assurance success rate (first-pass approval percentage).

Client satisfaction scores and retention metrics.

Improvement in automation adoption and operational visibility.
