We are seeking a highly organized and detail-oriented Office Administrator to join our global digital marketing
Responsibilities:
• Utilize AI tools and technologies to identify areas of improvement and streamline operational processes within the agency.
• Assist in the implementation and integration of AI solutions to automate administrative tasks and optimize productivity.
• Collaborate with cross-functional teams to understand their workflow challenges and identify opportunities for process enhancement.
• Conduct regular process audits, identify bottlenecks, and propose innovative solutions to improve overall efficiency.
• Develop and maintain comprehensive process documentation, standard operating procedures (SOPs), and training materials for staff members.
• Assist in training employees on AI tools and technologies, ensuring effective adoption and integration into daily workflows.
• Coordinate and manage multiple projects simultaneously, ensuring timely completion and adherence to quality standards.
• Maintain and update various databases, systems, and software platforms used by the company, ensuring accurate and up-to-date information.
• Handle general administrative tasks, including but not limited to scheduling meetings, managing calendars, monitoring and managing the main inbox, and preparing reports.
Qualifications:
• Must be able to work 9AM-5PM EST
• Bachelor's degree in business administration, marketing, or a related field is preferred.
• Proven experience in office administration or operations management, preferably in a digital marketing agency or technology-driven environment.
• Strong understanding of digital marketing concepts, tools, and industry trends.
• Familiarity with AI technologies and their applications in improving operational processes.
• Proficiency in using AI-enabled tools and software platforms (e.g., workflow automation, data analytics, project management, etc.).
• Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.
• Strong analytical and problem-solving abilities to identify process gaps and propose practical solutions.
• Exceptional attention to detail and accuracy in documentation and data management.
• Excellent communication and interpersonal skills to collaborate effectively with cross-functional teams.
• Proactive attitude with a continuous improvement mindset, keeping up-to-date with emerging technologies and industry best practices.
