JOB OVERVIEW

We’re looking to hire an Executive Assistant to the CEO to join the CEO’s office. You’ll provide comprehensive support to the CEO and will leverage your ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

As the Executive Assistant to the CEO your responsibilities will include but not be limited to the following:
o Manage professional and personal scheduling for CEO, including agendas, mail, email, calls, travel arrangements, and other company logistic. Managing CEO's correspondence, including CEO’s email and mail correspondence and inquiries, answering Office of the CEO phone line and responding to internal and external inquiries (triaging and drafting responses)
o Prioritize conflicting needs and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements. Handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
o Ensuring CEO is prepared for upcoming meeting by collecting, prioritizing and preparing information/materials for upcoming meetings;
o Designing and producing complex documents, reports, and presentations;
o Composing and preparing correspondence;
o Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive, highly confidential and critical Upgrade to see actual infotermine appropriate course of action, referral or response, exercising judgement to reflect CEO’s style and organizational policy/philosophy/culture.
o Creating and maintaining contact lists;
o Making complex and detailed travel arrangements and completing travel reports;
o Utilizing extensive knowledge of the organization to collaborate with partners and resolve questions and issues;
o Assisting with meeting agendas and managing logistics for high-level meetings and events
o Comfortably handle highly confidential and time sensitive information with necessary care and prioritization
o Work with the Executive Team to coordinate the CEO’s outreach activities. Follow up on contacts made by the CEO to cultivate ongoing relationships.
o Proactively identify process improvements and opportunities to enhance support of the CEO
o Strong time-management skills and the ability to organize and coordinate multiple projects at once
o Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
o High integrity and reliability - handles sensitive information with a high level of discretion
o Proven ability to work well independently, while taking clear direction on prioritization from the CEO
o Organize CEO travel and travel-related activities, including hotel booking, transportation, and meal coordination
o Manage daily expenses and prepare weekly, monthly or quarterly reports
o Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with others
o Gifting: research and execution of gifting year-round for friends, children's friends, personal and business associates, holiday and end-of-year gifting to schools/ teachers.
Schedule: This position requires a consistent, full- time Monday - Friday schedule HOWEVER, the job offers schedule flexibility - including the ability to work partially from home if desired. Someone who is a self starter.

Qualifications:
• A minimum of a bachelor's degree is required
• 7+years of experience supporting C-level executives
• Exceptional communication skills both verbal and written
• Ability to collaborate effectively and partner closely with others in the CEO’s office as well as internally and externally to follow through and achieve results
• Ability to dynamically prioritize and troubleshoot conflicts; anticipates challenges and proactively addresses them
• Comfortable handling multiple items and competing priorities
• Ability to complete a high volume of work and with limited direction & oversight
• Exceptional organizational skills and impeccable attention to detail
• Strong interpersonal skills with the ability to build relationships with internal and external stakeholders
• Ability to work well across multiple teams and diverse communities
• Ability to navigate complex situations and organizations; identify and execute on resolutions
• Strong technology skills, including solid familiarity with Apple/Mac products and the Microsoft Office Suite, required
