Need VA with strong organizational, research, and writing skills. English Fluency a must
Virtual Assistant Job Posting
Hi there,
My name is Marie. I am looking to hire a general virtual assistant to support me as
I grow my business. My current operations are in two primary areas:
MSoteloConsulting is the content marketing firm that I currently run as a sole proprietor. My clients are boutique B2B law and compliance firms who need help with marketing strategy and creating content to increase their visibility, build their unique brand, and drive new leads. As the (currently) sole employee of my business, I provide a very high-touch service-based experience to my clients. I commonly work with the firms’ owners or principals both as a strategy consultant and as a ghostwriter to glean their expert insights and turn that into articles, white papers, e-books, newsletters, LinkedIn content, and custom website content.
Coaching/Training. I am also a former lawyer and having successfully made the pivot from lawyer to full-time freelance writer, have been building an audience of lawyers who are exploring freelance writing as an alternative career or side hustle. My nearest term objective with this business is to create a training product that helps law firms DIY their content marketing and serves a dual purpose as a training tool for lawyers who want to get paid to write. I eventually hope to grow this product into other hybrid coaching/course offerings.
That’s where a virtual assistant like you comes in. I have been building my content marketing business for 6 years and now have more client work than I can handle. I need to delegate certain parts of my writing process to a VA so I can spend more time on marketing and strategic planning to grow my business sustainably.
That’s why proficient English and a good Internet connection are a must. That’s
also why I’m looking for a full-time, long-term tea
I’ve worked with other freelancers, collaborators, and clients throughout the world so I am accustomed to collaborating virtually. I have some existing workflows and tools in place, but I’m also looking for a VA who is talented at researching and implementing processes, systems, and tools to help me streamline and stay organized. I recognize that one of my shortcomings is staying organized and keeping my systems and processes up to date. This is a strong capability that I am seeking from a potential hire.
I am hiring for these responsibilities, although this list may shrink or grow as we go:
Email
Social media management
Appointment scheduling and calendar management
Google Drive and Notion organization
Project coordination (using a project management platform called Asana of a better one, if you have experience with one that works well)
Online research
Setting Up & Publishing Blog Posts
Setting Up & Scheduling
Creating & Updating Systems and Processes
Project Management
Deadline / Deliverables Tracking
Researching and outlining blog posts and other content for clients
Basic design and graphic work using a tool like Canva
You will need to get up to speed quickly with these tools:
Asana (project management platform)
Notion (our internal knowledge base and wiki)
GDrive (file and document storage and management)
Zoom (video conferencing)
Google Calendar
GSuite/Gmail
ConvertKit (our prospective
Teachable (our prospective training platform)
Canva (for graphic design)
Note: I am willing to give the right person access to training if you have a
knowledge gap related to one or more of these tools. I’m more interested in
finding someone with the right character, attitude, motivation, and personality
than someone who already has all the right skills.
Workload & Timeframe
I would like to start vetting candidates immediately, and the effective start date
would be as soon as I find the right person. Maybe the right person is you? I
think it’s realistic to start onboarding the right person in early-September and
begin the trial period.
The trial period will be 30 days. That way, we both have a chance to see whether
we’re a good fit.
I’m looking for a long-term tea
your role (without overwhelming you).
I operate with the core values of “excellence,” “authenticity,” “balance,” and “candor.” My health, my family, and my faith are my highest priorities. I am not into hustle culture, or leaning in, or business at all costs. I don’t expect you to be either, and if you do, we probably aren’t a good fit. But I do expect you to be candorous, trustworthy, dependable, and communicative.
Other Things You Should Know
My business hours are typically from 9am to 5pm Pacific Time but I work very sporadically during those times depending on family demands and travel. That said, I always make myself available when needed and am very responsive and communicative throughout the day.
I don’t work at night, on the weekends, or during U.S. holidays. I also usually closed for business from Dec. 21 through Jan. 1 or 2.
We travel a good bit—at least, when there’s not a pandemic—because we love to adventure and spend time exploring the outdoors in our family trailer. During the summer, we often take week or more long trips during which time the pace of work will slow and I may be off the grid or have limited communications and will trust you to work independently while I am away. Although we will spend lots of time prepping for this so you are comfortable in handling things during my absence.
I very rarely send
respond until we’re back in your agreed-upon hours or availability. However, I do expect you to be timely and responsive in our communications and in communicating with clients.
You can take personal time when you need it. However, I would like to know
well in advance so that I can plan
maintain a consistent, positive experience for clients and customers, and I need to know I can count on your to help me do this.
Does this sound like a good fit to you?
I’ll receive applications between Friday, August 12th through Sunday, August 21.
I’ll shortlist candidates along the way, and follow up with some candidates
immediately. I plan to make a decision by early September, and that’s when the 30-day
trial period would begin, give or take a couple of days.
Here are the next steps…
Please send me a video where you tell me about your background, education, and
why this position appeals to you. And also what your favorite thing to do is other than work and where in the world you would love to travel next.
I know not everyone is super comfortable in front of the camera,
but I want to get a sense of your personality and need to know that you have the presence and confidence to communicate with the high-level decision-makers that I deal with on a daily basis in my business. Then, we can ask each other questions and get to know each other.
