Shapiro Real Estate Group is looking for an organized and professional Operations Coordinator to provide support to the team. Responsibilities will include administrative/operational duties as well as technical and marketing support. You’ll be working directly with a team of highly-talented and successful real estate entrepreneurs, managing our listing and transaction needs for sellers and buyers. Listing to Contract Duties (Sellers)
• Oversee all aspects of sellers transactions from initial contact to executed purchase agreement
• Prepare all listing materials: pre-listing presentation, listing agreement, seller disclosures, comparative market analysis (CMA), etc
• Consult and coordinate with sellers on property photos, staging, repairs, cleaning, signage, lockbox, access requirements & marketing activities
• Obtain all necessary signatures on listing agreement, disclosures, etc
• Coordinate showings & obtain feedback
• Provide proactive weekly reports to sellers regarding all listing activities
• Coordinate all public open houses and broker open houses
• Field inbound sales inquiries regarding listings (e.g. calls and text messages)
• Input all listing information into MLS and marketing websites and update as needed
• Submit all necessary documentation to the brokerage for file compliance

Contract to Close Duties (Sellers and Buyers)
• Oversee all aspects of buyer and seller transactions from executed purchase agreement to closing
• Manage completion of buyer rep agreements, offers, amendments and all other necessary documents
• Coordinate title/escrow, mortgage loan and appraisal processes
• Coordinate inspections and completion of repairs, schedule vendors and contractors, visit on-site as needed
• Submit all necessary documentation to the brokerage for file compliance
• Coordinate moving/possession schedules
• Schedule and coordinate closings and delivery of closing gifts for clients

General Operational Duties
• Develop operational efficiencies to help grow the business (e.g. create standard operating procedures - SOPs)
• Maintain and optimize CRM
• Calendar management
• Stay on top of organizing files in Google Drive
• Plan and execute client events including coming up with event ideas, ordering food/drinks, supplies, decor, booking spaces, scheduling photographer etc
• Manage the client appreciation program (e.g. gifts, thank you cards)
