Job: Working as the assistant to our current Transaction & Closing Coordinator.
There are literally 100s of small details during a real estate transaction that need to be tended to.
Tasks including, but are not limited to:
Weekly calls to sellers to provide feedback, updates, etc.
Prepare fill in a blank listing agreement & packet along with a CMA to provide to Real Estate Agent to go on Appointment
Thank you notes
Process listing agreement, obtain Broker signatures, distribute to all parties
Coming Soon - announcement to team and database
Order photography package
FlexMLS - entering the property
Uploading photos and virtual tours
Maintaining correct status
Maintain feedback collection system
Call Coop Agents for Feedback, enter into feedback system
Prepare a weekly listing status report for SEller with updates on marketing and showings
Coordinate open house dates and announcements
Record hotline scripts
Weekly calls with Buyers to discuss progress of closing details.
Processing contracts, dates, distributing timelines to all parties.
Coordinate with title, mortgage, inspectors, sellers, buyers, listing agents, selling agents, broker, team leader, etc.
Filling in purchase and sale agreements with assistance of Agents, amendments, etc.
Reach out to associations: Obtain applications, submit applications, check on them.
Coordinate gate access with new buyer.
Daily Tech Used:
TransactionDesk, Dotloop or similar
CRM (CINC or Follow UP Boss or Top Producer)
Office 365 (Teams, Word, Excel, etc.)
Must be super organized and available at odd times if needed.
