The Assistant Community Manager (ACM) provides support to the community management team with the day-to-day operations of the communities for which we provide management services. ACMs will establish and maintain a professional, service-oriented relationship with the management team, other employees, clients, and service providers. This position requires an individual who is well-spoken, customer service-oriented, and who can multi-task and prioritize at a rapid pace.


- Community Support
- Provides first-level support to Community Association Managers (CAMs)
- Must be able to read, understand and develop familiarity with association governing documents
- Understand and uphold community governing documents, as well as, local, state, and federal regulations applicable to community association management
- Research and understand homeowner accounts to provide information on account balances, payments, applications, etc.
- Generate and track Work Orders to ensure satisfactory and timely completion
- Assist CAMs with:
- Responses to client inquiries for assigned associations
- Gathering bids for maintenance, repair, and capital projects
- Updating and maintaining community documents
- Responses for all incoming communications from homeowners, vendors, etc., for assigned communities
- Emails and calls are answered within 1-2 business days
- Inquiries are managed competently and quickly through to resolution
- Preparation of newsletters, association notices, and flyers.
- Maintenance and repair coordination in communities
- Generate and track Work Orders to ensure satisfactory and timely completion
- Correspond with vendors to review projects and monitor progress
- Enforcement process to uphold community standards, including:
- coordinate inspections;
- review and process compliance reports and letters;
- coordinate fine processes, and
- coordination of and preparation for hearings
- Architectural Change Process, including:
- provide information to homeowners regarding the architectural process in accordance with documented procedures and the association's governing documents;
- review submissions for completion
- coordinate correspondence for incomplete, approval, conditional, and denial letters based on Committee and Board decisions
- Assist CAMs with Board Meeting preparation as required
- Gathering documentation for, and assembly of, board meeting materials (a.k.a. Board Packs)
- Accounts payable process, including communications with vendors, submission of vendor invoices, and researching payments
- Delinquency/collection process
- Assist with the preparation and dissemination of documentation for annual elections or special balloting.
- Provide managers with the annual election folder, containing all copies and forms required
- Assist with the preparation and development of the annual budget and Budget Disclosure
- Community event planning and execution
- Corporate Communications:
- Answers incoming customer calls during business hours
- Dispatches inquiries to appropriate teaUpgrade to see actual infombers, as needed
- Maintains Call Logs
- Information Management
- Maintain homeowner and association information in a central database
- Organize and maintain digital and physical files for each association, including; association documentation and homeowner unit files.
- Organize, inventory, and maintain community archives for the storage
- Maintain association documents in the web portal and escrow system
- Maintain Community Information Sheet for each association
- Assist the management team with the maintenance of centralized calendars for communities and management team activities/deliverables
- Assist with tracking and coordination of management tasks/deliverables
- Assist with the documentation of Standard Operating Procedures and training materials
- Process orders for the resale or refinance of properties
- Coordinate vendor verification program for each community
- Coordinate Secretary of State filings for communities
- Other jobs and other duties as necessary and as assigned


- Education/Knowledge
- High School diploma or GED required - Associate degree preferred Minimum 3 years experience in a customer service capacity or any combination of education and experience in this regard
- Knowledge of business correspondence standards including rules of grammar, sentence structure, punctuation, and spelling
- Fluency in English, both verbal and written
- Knowledge of any other language (Spanish preferred) is desired
- Technical
- Proficiency with MS Office Suite; including Word, Excel, PowerPoint, Outlook, and Google Drive
- Knowledge of proper operation of standard office equipment including fax machine, copy machine, computer and ten-key
- General
- Experience in community association management and/or property management preferred
- Must be able to effectively and efficiently coordinate projects, multi-tasking at a rapid pace
- Demonstrated ability to maintain the confidentiality of records and to use discretion in the performance of daily activities
- Ability to research problems, prepare written recommendations and compose correspondence
- Proficient in making independent judgments and decisions
- Must be self-directed
- Must be able to work extended hours or overtime

Your work schedule will be from 8 AM to 5 PM PST.
