Magnetic Media Broker is actively seeking an experienced Executive Assistant to provide top-notch support to their CEO.

The Executive Assistant will be responsible for anticipating the needs of the CEO and working to streamline daily administrative and operational tasks, while supporting strategic initiatives, functioning as a partner, and managing long-term projects.
The ideal candidate for this role possesses excellent project management, organizational skills, attention to detail and is willing to help out wherever needed.
THE IDEAL CANDIDATE:
** Has previous experience with operations and managing a team
** Is a quick start who can quickly turns tasks around and takes action; knows how to be persistent and resourceful to solve problems, remove roadblocks and get things done
** Able to maintain, manage workflow and understands how to prioritize tasks
** Exhibits strong professionalism - demonstrated poise, tact, and diplomacy when dealing with the CEO, CFO, other leaders and members of the team and clients.
** Must be able to work independently and excel in a deadline-driven environment that involves multiple, simultaneous projects
** Strong skills in analyzing information, formulating logical and objective conclusions and making effective recommendations.
** Superior organization skills and dedication to completing projects in a timely manner.
** Has a genuine passion for supporting others.
** Possess extreme attention to detail
** Portrays confidence when dealing with C-Suite to bring any ideas and solutions to the team and ensuring CEO is on task by eliminating unnecessary tasks/distractions
** Understands the importance of accountability. Has experience working in an environment where they are confident in holding themselves and their superiors to high standards to make sure that all projects are completed on time
** Priority management, has the skills and ability to be the gatekeeper for the CEO to handle, eliminate or push back any off the book, non priority items
JOB RESPONSIBILITIES:
** Read
** Maintaining a streamlined inbox, tagging/categorizing
** Maintain the CEO's calendar in a thoughtful and purposeful manner, ensuring meetings contain the appropriate attendees, agenda items, and any changes are done with full consideration of a team, spanning multiple time zones.
** Understand the CEO's goals and objectives in order to effectively anticipate deliverables and follow up when necessary.
** Help to plan the CEO’s daily calendar to ensure all areas of the business have scheduled time to be worked on with specific tasks planned for each.
** Turn correspondence with CEO into tracked, actionable items
** Follow up with clients and prospects on behalf of the CEO
** Request make goods from publishers on behalf of the CEO
** Maintaining sales tools such as Money Map and Media Kit.
** Maintain day to day tasks in the absence of the CEO
** Maintain client information and prospect information in Pipedrive which is consistently updated and utilized for sales purposes
** Partner closely with the Finance team, CEO and Operations Team to coordinate needs across the organization.
** Collaborate on internal operations as the company scales
** Database management – implement and keep track of documentation and filing processes.
** Maintain multiple google sheets to track sales and payments.
** Provide support with financial tasks, unpaid invoice follow ups and reporting
** Take ownership of additional duties and special projects, as needed
** Keep the CEO accountable for all tasks that are not urgent but are necessary for the growth of the company overall.
**Turn daily debrief into actionable items such as plans for the next day, future projects in asana, tasks for other colleagues.
Experience and Skills Required:
** 2+ years of experience as an Executive Assistant for the C-Suite.
** Demonstrate a solid typing WPM (ideally 45 wpm+)
** Excellent English skills, and able to communicate well both verbally and in writing
** Experience with remote team tools like Time Doctor, Asana / Trello / Pipedrive, Google Suite, LastPass,
Tech Requirements:
** Computer - at least i5 or equivalent with 8gb RAM
** Internet Speed - At least 20 MBPS Download speed
