JOB OVERVIEW

We are looking for a detail-oriented and organized self-starter to join our rapidly growing real estate brokerage team focused on luxury real estate in Puerto Rico.

Previous experience at a real estate brokerage is a must. If you've been a real estate Transaction Coordinator before, that is a bonus.

The right candidate will have the ability to sustain productivity in a fast-paced environment. We are looking for someone who is organized with meticulous attention to detail. You must be able to maintain focus and composure under pressure.
Multitasking, professional phone etiquette, and ability to exercise good judgment are musts. The right candidate will be able to clearly communicate in a professional environment both verbally and in writing. Responsibilities Include:
-Prepare contracts as instructed by Agent (including maintaining files and key dates)
-Understand the contracts in order to summarize all important terms, conditions, and contingency dates
-Communicate with the agent throughout the transaction including all important dates, missing documents, calendar reminders, file compliance status, etc.
-Act as liaison between real estate agents, clients, attorneys, inspectors, appraisers, escrow companies, and mortgage brokers and effectively manage the administrative tasks involved in closing a sale
-Create timelines and follow up with individuals as needed to ensure all deadlines are met and contingencies are released
-Ensure all documents are accurately completed in a timely manner
-Communicate regularly with the client to send them reminders, check in, and let them know what to expect in each step of the closing process
-Establish relationships with all third parties including lenders, inspectors, appraisers, and all agents in order to ensure a smooth closing process and share relevant information
-Work with agent, brokers, banks, attorneys, and others to resolve any problems with contracts and upcoming closings
-Be the first point of contact/resource for all questions that arise throughout the closing process from agent (and client, attorneys, lenders, appraisers, other transaction coordinators/Realtors, etc.)
-Review all closing papers with the closing attorney
-Schedule showings, inspections, appraisals, contracts, escrow, title searches, closings
-Obtain necessary signatures via electronic signature
-Create and send invoices
-Coordinate closing date, time, and location and notify all parties
-Coordinate purchase and delivery of client gifts
-Notify client about utility accounts to setup/cancel
-Update online listing status and/or remove online advertisements after closing
-Follow up with clients after the sale to check in and request a testimonial
-Frequently, must complete projects on very short notice with extreme time constraints
