JOB OVERVIEW

We are looking for someone to join our property management team as a part-time remote teaUpgrade to see actual infomber. The remote teaUpgrade to see actual infomber is a critical element of our business. This individual will be responsible for ensuring our owners and tenants have a clear understanding at all times of operational and financial metrics. We are a small company and are looking for someone who is willing to grow with us. If you’d like to transition to full-time in the future this could be an option, if you’d like to remain part-time that would be acceptable as well. We need someone who can help us on day one with known existing tasks, but also identify opportunities for us to improve.

This role will be responsible for the following:

General Communication
Answer the phone and provide assistance when existing tenants, vendors, and owners call
Re-route prospective tenant callers to our leasing department
Respond to emails from tenants, vendors, and owners
Monitor virtual mailbox and ensure all mail is opened, and filed accordingly

Application Coordination
Call and/or email all prospects with partially completed applications
Complete tenant verification for completed applicants
Complete employer verification for completed applicants
Complete applicant scoring matrix
Advise management when applicant profile is complete for acceptance or denial
Send Adverse Action Letter to denied applicants
Prepare lease packet for electronic signature for accepted applicant

Maintenance Coordination
Log new maintenance requests
Follow-up with vendors on existing maintenance requests
Maintain data accuracy of all work orders in Rent Manager
Send follow-up communications to tenants regarding status of work order
Call tenants after work order is completed to ensure they are satisfied with the work

Financial Coordination
Post utility usage, mortgage, insurance, property tax, and other bills in Rent Manager
Generate monthly tenant and owner statements in Rent Manager
Send courtesy email reminder of rent due to all tenants not paid on 2nd of each month
Prepare 5 day letter for all tenants not paid after the 8th of the month.
Prepare documents for summary possession

Business Improvement
Develop new standard operating procedures and modify existing standard operating procedures
Research new technologies which can be implemented to improve processes, customer experience, and profitability
Spend time educating self on how to better use Rent Manager through RMU and networking with other property managers using Rent Manager
Develop checklists for as many tasks as possible.

The above list of responsibilities is just a summary of the tasks needed by the incumbent must also be willing to do other tasks as assigned.

Bookkeeping
Podio development
API Integration

Candidates must have:
The ability to work Monday through Friday from 9am to 6pm US Eastern Time
Able to work at least 20 hours per week
Excellent spoken and written English skills
Comfort with saying “I don’t know. I will find out and get back to you”
Strong attention to detail and follow-up
Comfortable asking for help
A desire to always help our customers (tenants and owners)
The ability and willingness to make recommendations on how to improve the business
Reliable and fast internet connection
The ability to leverage internet for voice over IP phone (VOIP) phone usage
The ability to install Rent Manager via remote desktop protocol (RDP)
Familiarity with Google and Microsoft products including but not limited to Sheets/Excel, Docs/Word, Slides/PowerPoint, Hangouts, Drive, YouTube
Ability to use Slack for internal communication
Familiarity working with Adobe PDF documents

During first 6 months employee should expect:
To learn a lot

After 6 months employee can expect
To receive paid time off for all regular Filipino Governmental Holidays
To be paid on a monthly basis
To receive 13th month pay in December, based on average monthly compensation

Hourly compensation range depending on experience: ?125-?175 per hour
