RESPONSIBILITIES:
Manage all emails including responding, redirecting and organizing inboxes
Manage information flow in a timely and accurate manner
Manage directors calendars and set up meetings
Make travel and accommodation arrangements
Research and book all travel requirements
Interaction with clients and manage people
Support director in all administrative needs
Manage Zoho and Asana
Help implement administrative systems and processes for smooth onboarding of new
clients and support of existing clients.
Fully support and onboard all clients, building relationship and nurturing them at every
step of the way
Contact suppliers and manage invoices
Format information for internal and external communication – memos, emails,
presentations, reports
Screen and direct emails and direct messages and distribute correspondence
Organize and maintain the office filing system

JOB QUALIFICATIONS:

At least 2 years of experience in a high level PA role
Must be able to meet deadlines in a fast-paced quickly changing environment
A proactive approach to problem-solving with strong decision-making skills
Professional level of verbal and written communications skills
Excellent time management skills; able to manage conflicting priorities and unforeseen change
Familiarity with organizational applications such as Zoho and Asana and a fast learner for new softwares if needed
Discretion and confidentiality, can work independently and resourcefully
Proven experience in assisting traveling arrangements such as booking transportation, accommodations, car rentals, tours, and necessary travel documents
Experience handling basic bookkeeping tasks
Skilled in handling administrative tasks such as filing corporate records, organizing memos, retrieving documents and reports, managing databases, and responding to emails in a timely manner
With sense of awareness and someone with leadership
Who can be firm and soft at the same time
