JOB OVERVIEW

Founded in 2020, Sims Marketing Solutions is a family-owned and operated marketing agency focused on supporting US-based small businesses. We help small companies identify their strengths and weaknesses and develop a custom marketing plan based on their future goals. Then, we become an extension of their business to execute a holistic strategy and monitor for success.
Our agency is growing, and we are looking for a teaUpgrade to see actual infomber ready to invest time, energy, and brainpower to successfully grow the agency and continue to support our clients in achieving their business goals.

ROLE AND RESPONSIBILITIES
As our team’s virtual assistant, you will need to have the following attributes:
• Excellent communication skills with proficiency in English, both verbal and written
• Well organized and able to manage multiple priorities
• Solid research skills and ability to summarize knowledge into written reports
• Tech-savvy with a balance of creative and analytical thinking
• Self-starter that is proactive in learning and able to solve problems that arise
• Detail-oriented with an eye for quality
• Ability to consistently meet deadlines
• Honest, dedicated, and a good sense of humor
• Able and willing to learn – you will have online training opportunities and one-on-one training to grow your skills

Examples of Preferred Tasks
• Inbox and calendar management (Microsoft Office Professional) including reviewing daily inbox, marking urgent messages, replying to requests for meetings and scheduling, responding to vendors, reviewing newsletters, and summarizing important content for the owner
• Customer relationship management (CRM) updates for leads and clients.
• Project management (Microsoft Planner) updates project tasks and monitor due dates
• Writing for reports, presentations, website copy, blog posts, social media posts, and proofreading
• Setup and manage Microsoft Sharepoint for each client, which includes client-specific tool links, OneNote notebook for project collaboration, a Teams group for messaging, and a project in Planner
• WordPress updates like content and some minor design updates
• Tool management, including track and communicate new features and tool updates, research new tool options, manage subscriptions
• Basic image editing and graphic creation using Canva and/or Adobe Photoshop
• Social media scheduling (Hootsuite or similar) and online directory management - respond to comments and reviews, keep all accounts updated with the latest company information and branding
• Create presentations and reports in Canva for sales pitches and client deliverables.
• Perform lead generation (email, social, paid advertising) and lead followups and tracking in Hubspot
• Managing freelancer projects in Fiverr
• Review metrics reports, summarize results and create client-facing reports using Google Data Studio or a similar tool
• Document and refine business processes like new client onboarding, repetitive marketing tasks like reporting, and customer followups

QUALIFICATIONS AND EDUCATION PREFERENCES
• Bachelor’s degree in marketing, business, or a similar field; a Master’s Degree or MBA is a plus.
• 2 + years of experience in digital marketing and 1+ years of experience as a virtual assistant for a US-based business. Marketing agency experience is a plus.
• Related work experience in marketing strategy, business strategy, or business development is a plus.

Experience with the following tools:
• Microsoft Office Professional Suite, specifically Outlook, Excel, Word, and Sharepoint
• CRM
• Hootsuite Social Media Management
• WordPress
• Canva Graphics Design

Additional experience with the following is a plus:
Email automation tools like MailChimp, Constant Contact, or Emma
• SEO tools like SE Ranking, SpyFu, Moz, Google Search Console
• Image and graphics tools like Adobe Photoshop and Adobe Lightroom
• Social Media channels - Facebook, Instagram, LinkedIn, Twitter, Pinterest
• Reporting tools like Google Analytics, HotJar, Yoast SEO, Google Data Studio

Ongoing training will be available for any tools we utilize regularly.

ADDITIONAL NOTES
The new teaUpgrade to see actual infomber will need to have a few overlapping work hours with our local time zone (US Eastern Standard Time) for the first month to meet at least once a day to ask and answer questions. Most communications will occur over email or Microsoft Teams messaging.

The work schedule is 40 hours a week. However, the hours are flexible to achieve the best work/home balance for all teaUpgrade to see actual infoUpgrade to see actual info addition to a competitive salary, we offer the 13th-month bonus. Other employment benefits are negotiable.
