We are looking to add an Operations Assistant to our team!
The Operations Assistant role is an essential part of our team and is responsible for the support, coordination and executing of the day-to-day operations.
We’ll be looking to you to bring your organizational savvy, attention to detail and experience with supporting a high performing operating team.
DUTIES & RESPONSIBILITIES
*Includes but not limited to:*
Sales & Marketing Support (40%)
- Manage and coordinate
- Coordinate and schedule ongoing newsletters to dealers and customers
- Ensure timely management of product registration
- Manage and build
- Support with Lead generation
- Research and uncover marketing and industry trends
- Manage dealer onboarding process
- Manage and complete Sales Orders and invoices
- Manage Invoicing and followup of outstanding receivables
Executive Support (30%)
- Manage the executive team's calendar
- Creating a system for addressing important
- Creating efficiencies in managing and storing
- Booking and scheduling travel
- Coordinate snail mail at Hollywood Postbox
- Scheduling appointments
- Proofing the calendar weekly (verifying appointments, verify time, checking links,etc.)
Project Coordination (30%)
- Coordinate activities, resources, equipment and information.
- Liaise with Engineering or Marketing to identify and define project requirements, scope and objectives.
- Make certain that collaborators' and suppliers' needs are met as the project evolves.
- Help prepare project plans, timeframes, schedule and budget.
- Manage, control and coordinate project schedule & implementation to make sure the project to be completed on time.
- Monitor and track project’s progress and handle any issues that arise.
- Monitor and report on the progress of a project to all stakeholders.
- Use project management tools to monitor working hours, budget, plans and money spend.
- Prepare/update project status reports, process invoices, update tracking reports, and maintain files for due diligence and financials.
- Create and maintain comprehensive project documentation, plans and reports.
