We're looking for a remote, part-time (25-30 hours a week) Operations Specialist to join our Upgrade to see actual info addition to the responsibilities as Operations Specialist, you will also serve as the CEO's Executive Assistant until January 2022 (4 months). Once we roll into that period, you will transition solely as Operations Specialist while maintaining 25-30 hours/week commitment.

You will shadow the current Executive Assistant for the first few weeks to get a full understanding of the duties and responsibilities of the ad hoc role on top of being Operations Specialist.

Job role:

Act as right-hand to the CEO and support him in various daily responsibilities that move the company forward, along with assisting the sales team in any administrative and operational tasks.

Job responsibilities:

Operations Specialist
- Execute special projects and operations for the CEO of the company
- Hiring and onboarding new employees
- Completing recurring daily, weekly, and monthly tasks for CEO
- Assisting CEO in fundraising projects
- Paying vendor invoices
- 5 hours per week - assisting Head of Sales in administrative and operations tasks as needed. (included in the 25-30 hour commitment)

Executive Assistant
- Daily calendar management for CEO
- Regular review of calendar - anticipating and forecasting needs for upcoming events, along with execution on tasks to address those needs.
- Scheduling zooUpgrade to see actual infoetings
- Blocking off “deep work” time to make sure CEO completes “deep work” tasks
- Inbox management for CEO
- Triage and mark any emails as “priority” and bring to CEO’s attention on a daily basis. (2x a day, 30-60 mins each session, between 8AM - 1PM EST)
- Set-up daily 30-min meetings with CEO to ensure all priority emails are responded to. (between 8AM - 1PM EST, M-F)

Skills required:
- Ability to write professional emails
- Detail-oriented and loves organization and planning
- Proven ability to connect, build and nurture relationships, especially with clients and stakeholders.
- Looking at data and numbers does NOT scare you. The role is more in the backend operations and requires dealing some data.
- Experience with Google sheets and familiarity with formulas is a plus, but not a requirement.
- Hubspot data analysis is a plus, but not required.

Hours:
This role will start at 5 hours a day, 5 days a week (8AM - 1PM EST, Mon-Fri). This is 8PM - 1AM in Philippine time, Monday night through Saturday morning. As indicated, this will ramp up quickly to 25-30 hours a week.
