JOB OVERVIEW

We are looking to hire a part-time and full/part time virtual Marketing Administration & Communications Coordinators.

Responsibilities include:
• Project Coordination: tracking project status and project workflow (Excel and/or Basecamp to be utilized)
• Campaign Development: Working with clients on submission and fulfillment of assets, content and creative needed to execute campaigns and programs. Distribution of assets and creative to vendors/publishers (trafficking).
• Reporting Support: Communication with media vendors on reporting due dates, reporting reminders, collection of screen shots and reports.
• Media Buying Support: Fact check media insertion orders for campaign timing, billing instructions, billing contact, and routing of insertion order contracts for signatures through Docusign. Media authorization creation & signature routing. Invoice requests and tracking. Dropbox management for all fully executed media insertion orders.
• Marketing Communications: Monthly business email development and dissemination (MailChimp), PowerPoint presentations (formatting and editing), client announcements (drafting and editing)
• Administrative Duties: Travel arrangements, monthly expense reporting, conference call scheduling, researching potential speaking engagement opportunities & submission process

Skills:
• Very proficient ability in MS Office:
• Excel: formulas, filters, sorting, charts, formatting
• Powerpoint: template use, master slide editing, flow and comprehensibility, embedding objects, formatting
• Word: formatting, editing, inserting graphics, change tracking
o Note: Preferred candidate will have had assessment for competency in these programs.
• Great communicator and ease with communicating virtually (by email, IM and phone)
• Quick learner, self-starter and problem-solver
• Efficient and quick responder
• Ideal candidate is a good business writer - for composing emails, editing documents, and other items as they come up
• Has professional experience in successfully interfacing with clients
• Very organized, detail-oriented and able to effortlessly multi-task
• Project Management, tracking status and flow of projects
• Familiar use of Basecamp, Dropbox, MailChimp and Docusign (Preferred); or easily trained in software and online-based tools.
• Knowledge of Adobe
• Effective time management skills
• Likes being a team player and jumping in where needed
• Experience in Real Estate marketing or advertising organizations
