IT Project Management and Executive Assistant (Part-Time - Morning Shift | AU)

Part-time 10 hours per week
Php 8,000 to 9,000 take-home pay monthly, possible increase once the role is converted to 20 hours per week minimum
Monday to Friday, within 6:00 am – 10:00 am PHT Work Schedule

About the Client:

Our client based in Australia owns and operates a Project Management firm that focuses on outsourcing IT related projects (Systems and Networks) from different industries and is currently looking for an experienced and reliable IT Project Management and Executive Assistant.

About the Role:

Manage the day to day administrative support requirements of a successfully busy Project Management Consultant
Updating Project Status Reports as directed - these are excel based and need to be maintained with accurate and current data. The client will supply the data needed per project.
Update Project Status Reports with the values from other Project documentation
Schedule meeting with the client to go through the PSR (Project Status Report) and update from verbal inputs
Create excel and word documents and reports as directed
Process emails
Invoicing
Schedule/Status updates from suppliers
Prepare meeting agendas and minutes to be created from notes
Manage tasks that will be kept via an online platform such as Trello/Jira etc. This will include due dates and priority.
Process improvement tasks that will be created in a To-Do queue with either supporting documentation/notes/audio detailing what's required for that task.
End of day email with highlighted decisions/actions needed to progress tasks underway and due for completion
Perform customer service tasks such as sending estimates or quotes, answering queries and coordinating schedules or changes necessary to appointments made with the client
When possible, identify pain points or bottlenecks within the existing processes and recommend better practices
Online researches and documentation of research
Perform other administrative support tasks as needed

Qualifications:

Solid experience in an Executive Assistant or equivalent role for at least 2-3 years
Strong interpersonal skills that will allow for effective communication between vendors, and existing customers and/or inquiring leads
Strong English skills in both verbal and written communications
Excellent comprehension and analytic skills
Technology savvy with the ability to do basic troubleshooting for any issues with the computer and/or the internet
Background in Project Management, particularly in IT systems and networks projects
Business savvy with a good understanding of standard business operating procedures
Previous experience working with clients in the Project Management or IT Consulting industry is a definite advantage
Advanced competencies in using MS Office applications – Word, Excel and PowerPoint
Experience or working competency in using Basecamp and other project management tools/platforms – Jira/Trello and the likes
Assertive without coming across as arrogant with the capacity to convey or articulate thoughts well
Applies great caution, care, and attention to the tasks and detail at hand
Capacity and proven experience in identifying roadblocks and determining solutions to solve the issue
Values quality of work and upholds integrity in performing all the tasks needed
Must be highly proactive and intuitive in conducting daily tasks to utilize time and optimize results
Excellent time management skills with a good sense of organizing
Passionate about performing Executive and Administrative support duties with the desire to develop or up-skill
MUST HAVE a reliable internet connection and power supply (doesn’t reside where brownouts are frequent)
